Job Summary

We seek a highly organized and detail-oriented Administrative/Bookkeeper staff to support our CEO and collaborate closely with our external CPA. The ideal candidate will manage administrative tasks, maintain accurate financial records, and ensure compliance with accounting principles. This role requires excellent multitasking abilities, effective communication skills, and the ability to work effectively and closely with senior management and external partners.

Key Responsibilities Administrative Support
  • Provide executive support to the CEO, including managing schedules, coordinating meetings, and handling correspondence.
  • Prepare and edit documents, reports, and presentations for the CEO.
  • Organize and maintain confidential files and records.
  • Coordinate travel arrangements and itineraries for the CEO and other senior staff.
  • Assist in the preparation and distribution of company communications.
Bookkeeping Duties
  • Record and reconcile daily financial transactions using accounting software (e.g., Quick Books, Xero).
  • Prepare and maintain financial reports, including balance sheets, income statements, and cash flow statements.
  • Process accounts payable and receivable, including invoice generation and payment collection.
  • Handle payroll processing and ensure timely payment to employees.
  • Work closely with and provide accurate company financials to external CPA to prepare and submit tax forms and ensure compliance with local, state, and federal regulations.
  • Assist with budget preparation and financial planning activities.
Collaboration with External CPA
  • Work closely with the external CPA to ensure accurate and timely financial reporting.
  • Assist in the preparation of documents and reports required for audits and tax filings.
  • Communicate effectively with the CPA to resolve any discrepancies and ensure compliance with accounting standards.
  • Provide necessary financial data and reports to support the CPA's work.
Additional Responsibilities
  • Support the management team with various projects and tasks as needed.
  • Ensure confidentiality and security of financial and personnel data.
  • Provide excellent customer service to clients and vendors.
Qualifications
  • High school diploma or equivalent; associate or bachelor's degree in accounting, finance, or related field preferred.
  • Minimum of 3 years of experience in bookkeeping or accounting.
  • Proficiency in accounting software (e.g., Quick Books, Xero) and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • Knowledge of local, state, and federal tax regulations.
  • Experience working with senior management and external accounting professionals is a plus.
