Position SummaryThe Executive Assistant to the Executive Director and Board of Commissioners provides high-level administrative, organizational, and governance support to ensure the effective operation of the Executive Director’s office and the Board of Commissioners. This position requires discretion, sound judgment, professionalism, and the ability to manage confidential information while coordinating complex schedules, board activities, and executive-level communications.
The Executive Assistant serves as a trusted liaison between the Executive Director, Board of Commissioners, staff, external partners, and the public, ensuring smooth communication and adherence to governance and compliance requirements.
Essential Duties and ResponsibilitiesGovernance Model:
Hands-On Board
This position supports a hands-on Board of Commissioners that is actively engaged in oversight, decision-making, and follow-up. The Executive Assistant plays a key role in facilitating communication, coordination, and accountability between the Executive Director and the Board while maintaining appropriate professional boundaries and adherence to governance protocols.
Executive Director Support
- Provide comprehensive administrative support to the Executive Director, including complex calendar management, meeting coordination, travel arrangements, and correspondence.
- Prepare, review, and edit executive-level correspondence, reports, presentations, and internal communications.
- Serve as a gatekeeper for the Executive Director’s office, prioritizing requests and ensuring efficient use of time.
- Maintain confidential files, records, and sensitive information with the highest level of discretion.
- Track deadlines, follow up on action items, and actively support implementation of Executive Director and Board-directed initiatives.
Board of Commissioners Support
- Serve as the primary administrative liaison between the Executive Director and the Board of Commissioners in coordination with and at the direction of the Executive Director.
- Coordinate all Board of Commissioners meetings, including scheduling, agenda development, supporting documentation, public notices, meeting packets, and minutes.
- Actively manage follow-up on Board motions, resolutions, and requests, ensuring timely execution and communication.
- Respond to routine Board inquiries and requests for information at the direction of the Executive Director, consistent with established governance protocols.
- Maintain official Board records, resolutions, bylaws, policies, and meeting archives.
- Support onboarding, training, and continuing education for Board Commissioners.
Governance and Compliance Support
- Monitor compliance calendars related to Board actions, reporting deadlines, and statutory requirements.
- Coordinate document execution, retention, and distribution related to Board and executive actions.
- Support audits, reviews, and governance-related requests.
- Strong understanding of executive-level administrative practices and governance support.
- Exceptional organizational and time-management skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Proficiency in Microsoft Office Suite and/or Google Workspace; ability to learn board management or agenda software.
- Knowledge of public-sector or nonprofit governance preferred.
- Ability to work independently, anticipate needs, and exercise sound judgment.
- Minimum of 3–5 years of experience providing executive-level administrative support.
- Experience supporting a board of directors or governing body strongly preferred.
- Experience in a public-sector, housing authority, or nonprofit environment preferred.
- Full-time position, primarily office-based.
- Standard work schedule is Monday–Friday with occasional evening meetings required to support Board of Commissioners meetings and events.
