Duties and Responsibilities- Submit, monitor, and manage high volume of Medicaid claims on various insurance portals with accuracy.
- Verify patient Medicaid coverage and eligibility on the Sta of Wisconsin Forward Health portal and convey to dental students and residents which treatments are covered according to Medicaid’s standard of care.
- Submit quarterly Medicaid orthodontic claims and notify clinic when patient pre‑authorization is nearing expiration.
- Maintain compliance with Medicaid rules and regulations for remittance of patient care. Communicate this information to fellow staff and students.
- Coordinate benefits for patients presenting with both commercial and Medicaid insurance.
- Prepare and monitor Medicaid denials, notifying the appropriate student or department.
- Monitor and resolve all disputed claims by consulting with state Medicaid administration clerks.
- Assist and guide all dental students and residents in completion of required paperwork and any required supporting documentation for Medicaid and commercial insurance plans pre‑authorization. Submit and monitor Wisconsin Medicaid pre‑authorizations on each plan’s specific portal. Follow‑up and notify applicable dental student, resident or clinic of approvals and additional instructions.
- Provide patients with copies of receipts when requested and assist patients in understanding their billing statements and allocation of their payments. Generate and monitor patient billing statements.
- Submit commercial insurance claims and ensure accuracy of information.
- Notify appropriate dental student or resident with requests for patient refunds. Guide student/resident in proper auditing to verify refund amount is accurate.
- Process patient payments when called in by phone or received in the mail. Accurately post to patient account.
- Complete and record signed patient financial agreements for any non‑payments for treatment completed same day.
- Manage and maintain department voicemail and emails. Respond to those inquiries in a timely manner.
