Duties and Responsibilities
  • Regular contact/conversations/meetings with AIM students – advising, internship placement, and full‑time opportunities, and provide weekly updates to AIM students on programming/events including AIM Academy, Friday pitches, Portfolio Management Club meetings, workshops, etc.
  • Coordinate events, trips (specifically New York and Chicago), participation in industry conferences, annual gathers in Milwaukee for AIM alumni, working with the program staff. Plan logistics to bring thought‑leaders and AIM alumni together for knowledge sharing. Develop presentations, materials and summaries for each event, as necessary. Prepare materials for AIM Academy speakers, room reservations, speaker invitations, and food orders. Track via QR code all events students are expected to attend.
  • Work with program staff, students and alumni to schedule student and alumni interviews, maintain career planning resources, draft presentations and track career opportunities, placements, and mentorships. Maintain the SharePoint website that lists all internship/full‑time opportunities for AIM students. Partner with the Business Career Center to maximize use of available resources. Track 10‑hour service requirements required for AIM students and track ongoing grades in AIM specific classes to verify no grades below a “B”, including transcript verification at the end of each semester in maintaining high GPA.
  • Monitor the monthly budget, including tracking expenses, creating and processing invoices, and P‑card reporting.
  • Support fundraising efforts, including planning events, drafting status reports and communications. Track board member dues and event sponsor ships.
  • Responsible for the supervision of student employees and interns, which includes but is not limited to hiring, training, disciplinary actions, ending the student’s assignment, etc.
  • Maintain program website and other social media platforms. Build and maintain a Linked In page available to the AIM network. Partner with the Office of Marketing and Communications for guidelines and recommendations.
  • Provide general administrative support to the staff of the program. Coordinate plans and communications across the university, as necessary.

    Skills and Abilities

    An associate degree in business, administrative, project support or related field with a minimum of 4 years of related experience or a bachelor’s degree in business, administrative, project support or related field with a minimum of 1-year related experience.
