Role DescriptionThe Executive Assistant will provide high-level administrative and logistical support to the Chief Executive Officer (CEO) and Chief Finance Officer (CFO). The Executive Assistant will manage calendars, travel, and select communications and projects in support of executive effectiveness while upholding our values-based culture.
This position is a part-time hourly position at approximately 20 hours per week

The Executive Assistant will be required to exercise good judgment in a variety of situations, with strong communication, administrative, critical thinking and organizational skills. They must also be able to handle a wide variety of activities and confidential matters with discretion. The Executive Assistant will report to our Vice President of People & Culture, working closely with the CEO/CFO. The Executive Assistant must be available for biannual staff retreats (in person) and biweekly Monday staff meetings (online), with the remaining schedule negotiable.
Preference will be for the Executive Assistant to come to Fair Food Network’s Detroit, Michigan office once every week, though full-time remote is possible for exceptionally qualified candidates.
- Supporting executives in strategic optimization of their calendars and workflow, as well as managing complex scheduling in coordination with internal and external stakeholders
- Preparing executives for key meetings, including gathering meeting briefs, preparing materials, ensuring resolution of post-meeting follow ups and scheduling meetings ensuring all meetings have a meeting space or virtual access
- Proactively tracking current and future activities including internal team meetings, interviews, conference attendance, project participation, and speaking engagements
- Coordinating travel for the CEO (booking travel, creating itineraries, tracking all post-trip expenses)
- Tracking and collecting monthly credit card expenses, and preparation for reconciliation with Finance Department
- Providing support on special projects, events or strategic initiatives as needed
- Managing, tracking and filing important correspondence; drafting and responding to emails
- Performing job functions in a way that supports and fosters FFN’s commitment to justice, equity and inclusion

- 2+ years of relevant work experience
- Strong organizational skills and ability to communicate clearly both in writing and verbally
- Ability to work effectively in a remote/hybrid environment, including comfort with virtual meeting and collaboration tools (e.g. Zoom, Microsoft Office Suite, Concur) and managing calendars across time zones and geographic locations
- Comfort with online filing sharing, communications technologies and collaboration tools
- Ability to work off-hours to handle occasional urgent travel and meeting situations
- An orientation towards great customer service to fellow staff and stakeholders
- Experience working in a non-profit or start-up setting
- Experience working with senior leaders or executives
- The hourly wage for this position is $25.00
- Eligibility for a 401K match after 12 months
