General SummaryThe Coordinator, Marketing Events supports the planning, execution, and follow‑up of Candela’s webinars, podcasts, and live events. This role ensures seamless logistics, clear communication, and strong engagement across in‑person and virtual programs. The ideal candidate is highly organized, detail‑oriented, and thrives in a fast‑paced, collaborative environment. This is an individual contributor position.
- Coordinate end‑to‑end webinar planning, speaker logistics, and post‑event follow‑up.
- Manage ON24 platform setup, including console build, quality assurance, recording uploads, and live webinar execution.
- Compile and analyze webinar performance metrics such as registrations, attendance, and conversion rates.
- Create post‑event summary reports for internal teams and brand managers.
- Partner with creative and digital teams to ensure all assets meet brand.
- Support pre‑production planning, scheduling, and recording logistics.
- Manage podcast guest coordination, prep calls, and recording sessions.
- Assist with editing, transcription, and captioning for episodes.
- Upload episodes to internal platforms and coordinate social media promotion.
- Track and summarize listener analytics and audience feedback.
- Coordinate the shipping and receipt of demo devices for trade shows.
- Manage scheduling for Field Service Engineers (FSEs) and device deliveries.
- Order and track consumables as needed for event demonstrations.
- Process and track purchase orders, invoices, and event budgets.
- Assist with planning, logistics, and on‑site support for Candela workshops and ACE coordination, and slide deck collection.
- Maintain an updated master calendar of all webinars, workshops, and speaking engagements; keep internal systems (Smartsheet, SharePoint, Lytho, Airtable) updated with event details and deliverables.
- Maintain event trackers, budget sheets, and purchase order logs.
- Bachelor’s degree in Marketing, Communications, Event Management, or related field preferred.
- Minimum of 2 years of experience in event coordination, marketing operations, or related field.
- Strong organizational and communication skills with exceptional attention to detail.
- Proficiency with event/webinar platforms (e.g., ON24, Zoom, Cvent) and productivity tools (Smartsheet, SharePoint, or similar).
- Ability to manage multiple projects simultaneously and meet tight deadlines.
- Able to travel to support live events and workshops.
- Works effectively within a matrixed, global organization; builds internal/external relations, demonstrates influencing and collaboration skills to drive decisions, and establishes credibility.
- Able to work in an environment where sharing responsibility for success and failure of others on the team.
- Conversant in the English language, verbal/written communication; exhibits excellent presentation, analytical and organizational skills.
- Good Microsoft Office skills, demonstrated command of Word, Excel, PowerPoint.
