Overview
The Fountain Group is currently seeking an HR Assistant for a prominent client of ours. This position is located in Marlborough, MA
.
Job Title: HR Assistant
Pay Rate: $19.05/hr
Duration: 6 months - potential to extend/convert based on performance/budget
Work Schedule: 36.25 hours/week
Work Location: Onsite – 5 days/week in office
What to Look For- Strong attention to detail and organization
- Ability to handle confidential personnel information
- Comfort with administrative and clerical tasks
- Willingness to work fully onsite, 5 days per week
- Familiarity with HR systems or case management tools (preferred, not required)
- Assign and update HR cases to the appropriate HR team member
- Log receipt of Leave of Absence (LOA) documentation in Service Now
- Upload LOA and personnel documents into the document management system
- Maintain accurate and complete personnel files
Provides administrative support to HR Shared Services by handling in-office tasks such as opening, sorting, faxing, and printing incoming and outgoing mail. Responsible for maintaining personnel files and uploading leaves of absence paperwork into the document management system. Updates and assigns HR cases to the appropriate HR team member.
Duties and Responsibilities- Print, sort, fax, and mail HR paperwork
- Open mail and faxes received within HR XPRESS and distribute appropriately
- Log receipt of all LOA documentation received in the shared inbox
- Upload LOA and personnel file documents into the document management system
- Maintain personnel files for office and exempt/management associates
- Ensure proper authorization for personnel file requests
- Prepare personnel file documents for external scanning vendor
- Audit scanned documents for accuracy and follow up on missing items
- Mail employment verification forms to external vendors
- Distribute benefit enrollment materials upon request
- Print and mail associate discount cards upon request
- Complete special projects as assigned
Education:
- High School Diploma or GED required
Skills:
- Familiarity with HR systems and/or case management tools preferred
- Strong organizational and administrative skills
Experience:
- 1 year of related administrative support experience preferred but not required
