Our client located in Markham requires an Executive Assistant to join their team. This is a key role for someone who takes pride in delivering exceptional organizational support, thrives in a fast-paced corporate environment, and is adept at managing multiple priorities with professionalism and discretion.
Key Responsibilities- Provide high-level administrative support to senior executives.
- Develop and maintain efficient filing systems (both digital and paper-based).
- Review and prepare business documentation, reports, resolutions, and executive presentations.
- Assist in the preparation and coordination of annual financial documentation.
- Act as custodian of confidential legal and organizational records.
- Maintain policy and procedure manuals as well as corporate documentation.
- Oversee petty cash, organizational charts, and office-related records.
- Draft, edit, and manage business and legal documents (LOIs, agreements, etc.).
- Coordinate office management to ensure a professional and organized workplace.
- Manage the purchase and setup of office furniture and supplies as needed.
- Support compliance and industry reporting requirements.
- Oversee recurring reimbursements and expense reporting for executives.
Coordinate company correspondence such as annual holiday communications. - Support internal and external meetings, including agenda preparation, minutes, and logistics.
- Assist with ad-hoc administrative and special projects as assigned.
- Minimum of 5 years’ experience in a senior administrative or executive support role.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Comfortable adopting and leveraging new technologies to streamline processes.
- Exceptional communication skills—both written and verbal.
- Strong judgment, discretion, and decision‑making ability.
- Excellent organizational skills with a keen attention to detail.
- Adaptable, resourceful, and proactive with a hands‑on approach.
- Able to work independently while collaborating effectively within a team.
- Skilled in building and maintaining positive relationships across all levels of an organization.
- Professional, approachable, and supportive—able to assist colleagues with tact and diplomacy.
- Ability to occasionally lift up to 25 lbs.
