Role OverviewWe are seeking a Client Service Specialist to assist the Advisor in his day-to-day operation. This is a high-trust, detail-driven role for someone who takes ownership, exercises sound judgment, and thrives in a professional advisory environment.
The Client Service Specialist serves as the first point of contact for clients and visitors. As you’ll manage the front-desk operations, this role is client-facing and plays a key role in delivering a polished, welcoming experience.
Key Responsibilities- Front-desk reception:
Answer inbound calls, greet office visitors, receive deliveries. - Manage the Advisor’s calendar:
Set up client meetings (in-person & virtual), send reminders to clients, send emails to book meetings, make calls to confirm, etc. - Manage the Advisor’s email inbox:
Flag emails that need responses, handle basic queries; manage own inbox too. - Office management:
Ensure office is in good order, order office supplies, set up client room for meetings. - Administrative support:
Open new accounts, handle fund deposits/withdrawals, review daily cash transactions, prepare portfolio review packages, maintain client records. - Insurance management:
Check insurance company portal messages, send premium due reminders to clients, run basic insurance quotes.
- 1-3 years of experience in financial services administration or advisory support
- Professional, friendly, and client-focused demeanor
- Exceptional attention to detail and organizational skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office (Outlook, Word, Excel) and CRM platforms
- Experience with Dataphile and Croesus is an asset and preferred
- Comfortable handling confidential and time-sensitive matters independently
