PAY RANGE: $16 – $18 per hour
Purpose and Summary Statement: Providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication.
Essential Job FunctionsDaily:
- Retrieve mail from post office during work hours and sort
- Answer phones and greet patrons, take payments, and route guests/salesmen
- Post payments
- Prepare intercompany mail bags for route truck and distribute intercompany mail
- Count and balance location bank bags and make bank deposit
- Deposit checks through CoBank and generate reports for Controller and vault (with cancelled checks)
- Organize cancelled checks from vault to storage
- Retrieve cash deposits from Banterra and file receipts
- Download and post payments from Virtual Terminal and create reports
- Download and post payments from MARS system and create reports
- Assist LP Dept in all daily functions
- Assist Financing Dept in reporting and transactions
- Handle delinquent accounts via phone
As Needed:
- Purchase and process birthday cards and company monthly calendar
- Purchase Walmart gift cards to send with birthday cards
- Coordinate and pick up birthday treats
- File sales reports and work orders
- Separate Bulk Fuel driver tickets and disperse to Inventory Specialist and Boles location
- Word processing projects for General Manager, Operations Manager, Sales Manager, Credit Manager, Controller and Human Resources Manager
- Call in Estimated Tax Payment Confirmation for Controller
- Assist with company events; coordinate meals, memos, flowers, etc.
- Ordering and inventory control of office supplies and forms
- Coordinate schedule forder box pick up
- Coordinate special mailings
- Coordinate Fed Ex and UPS shipping and distribute incoming deliveries
- Schedule office meetings
- Keep employee addresses and phone listings current and available
- Other duties as assigned
- Report to work at prescribed times.
- Present a neat, clean appearance and wear company uniforms as possible to project a good company image.
- Be safety conscious always and report any unsafe operations or equipment to Supervisor.
- Cooperate with Supervisor, co‑workers, patrons and peers.
- Be friendly and show concern for patron needs.
- Strive to keep company equipment in high state of repair and cleanliness.
- Have a working knowledge of all products and services offered by company.
- Notify Supervisor of all time off (e.g., personal, sick, vacation) at the earliest possible time.
- Perform all other duties as assigned.
Associate degree (A.A.) or equivalent from a two‑year college or technical school; or six months to one‑year related experience and/or training; or equivalent combination of education and experience.
Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.
Must be able to obtain and maintain a valid driver’s license and satisfactory driving record. Must be able to work extended hours as business conditions warrant.
Must be able to travel independently.
