The Volunteer Services Assistant supports the day-to‑day operations of the department’s B.E.S.T. (Broadening & Enriching Seniors Together) Program, an education initiative that utilizes specially trained and experienced volunteers to deliver presentations on important and relevant topics facing older adults today. The tools and knowledge shared through B.E.S.T. presentations are designed to empower individuals age 55+ to remain independent, maintain a healthy lifestyle, and safely age in place.

This position assists with the development, coordination, and implementation of educational programming, including the creation of new curriculum on topics relevant to the senior population such as cybersecurity awareness, navigating community resources and services, and managing health and wellness in later life. The Volunteer Services Assistant plays a key role in marketing and promoting the B.E.S.T. program, as well as recruiting, onboarding, training, and retaining volunteers with diverse skills, experiences, and knowledge to share with the community.

Additional responsibilities include coordinating presentations at senior centers and community locations, managing volunteer schedules, maintaining program data and reports, and assisting with volunteer recognition activities and events. This position also provides support to the Volunteer Services Manager with Meals on Wheels volunteer coordination (as needed), special events, and other volunteer‑related duties as assigned.

Responsibilities
  • Assist in the planning and designing of programming, services, activities, and/or events for the assigned department: research and develop content; conduct community needs assessments; gather and reserve supplies/equipment; create handouts and informational supplements; schedule programming.
  • Assist in the implementation of and implement programming, services, activities, and/or events for the assigned department: conduct classes for participants of different fitness/cognitive levels; recruit participants for new and existing classes; research requested activities; gather supplies and equipment; provide skill demonstrations as needed.
  • Provide customer service to clients and the public: receive and respond to questions and requests for information; provide assistance and information related to center programs, services, materials, or other issues; research problems and initiate problem resolution; enroll clients for programs, services, and materials.
  • Coordinate various programming and presentations for the assigned area: communicate with community, groups, interested citizens, clubs, civic organizations, schools and related groups; schedule speakers and presentations; schedule activities and demonstrations.
  • Plan, lead, and supervise participants at various events: coordinate monthly recreational/social activities; arrange and organize physical space and/or transportation; contact venues to schedule activities; recruit participants.
  • Assist in the planning and implementation of public relations and communication for the assigned department: create and distribute flyers, schedules, calendars, brochures, emails and other promotional materials; maintain and update email/mailing distribution lists; attend public events/meetings.
  • Provide clerical support as needed: complete, prepare, and submit reports and forms on activities; update weekly and monthly calendars; transcribe meeting minutes; utilize petty cash fund; maintain inventory of publications and other information for distribution.
  • Participate in various meetings and activities; provide information and input regarding program activities, services, and needs.
  • Perform other related duties as assigned.
Minimum Qualifications
  • High School Diploma or GED required; supplemented by two years of experience providing programs.
  • Must possess and maintain a valid Driver's License.
  • Tasks require the ability to exert heavy physical effort in heavy work: climbing, balancing, stooping, kneeling, crouching, crawling, lifting, carrying, pushing, and/or pulling of moderately heavy objects and materials (20–50 pounds); may occasionally involve heavier objects and materials (up to 100 pounds).
Sensory Requirements

Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors

Essential functions are regularly performed without exposure to adverse environmental conditions.
