Job DescriptionPOSITION TITLE:

RESPONSIBLE FOR:
Provides timely administrative support to the Cabinet Members by organizing and preparing reports, routing correspondences, collecting information, and initiating communications from various district sources. Performs secretarial duties for the Cabinet Member and designated departments as assigned by the Cabinet Member
QUALIFICATIONS:
Education:
Required: High School Diploma required;
College preferred
Experience: Minimum of three years of secretarial experience at the executive level required
MAJOR RESPONSIBILITIES:
- Demonstrates prompt and regular attendance and consistently works as a team player and provides excellent customer service to all clients.
- Provides administrative support to leadership, understands, and follows procedures in accordance with system policies and regulations, ensures that operations within the office are carried out with the highest level of quality, makes recommendations for improvements, develops workflow processes, and procedures in accordance with Board policies and procedures.
- Communicates appropriately with clients in person, by telephone, and in writing; places and receives telephone calls; records messages and screens requests for information; schedules appointments, meetings, conferences, and interviews; types and composes various types of correspondence, reports, and other documents
- Maintains calendar information for the Cabinet Member
- Files and maintains accurate records; maintains an office in an orderly and presentable appearance; greets visitors; serves as receptionist for the department; routes calls as appropriate
- Assists in the preparation of presentations and meetings. Helps with the preparation of agenda items for board meetings
- Communicates work direction and guidance to leadership and staff at various levels.
- Make travel arrangements and complete and process all travel and expense forms for the Cabinet Member and/or designee
- Handle confidential documents by ensuring they remain secure
- Prepare invoices or financial statements and provide assistance in bookkeeping as needed
- Performs other duties as assigned by the Cabinet Member or designee
Skills, Knowledge, Abilities:
Written and oral communication; organization; public relations; word-processing and Excel; attention to detail and excellent writing skills
Physical Demands:
- Frequent walking, sitting, and standing for extended periods.
- Ability to lift and carry instructional materials and equipment up to 25 pounds.
- Dexterity to write on a board, operate a computer, and use other classroom technology.
- Occasional bending, stooping, and reaching.
- Clear speech and hearing abilities for effective communication.
- Visual acuity to read printed and digital materials.
