QUALIFICATIONSEducation: High school diploma or equivalent required. Some college preferred. Spanish speaking preferred. Familiarity with Open Records processes and requirements preferred. Familiarity with workflow and project management tools (e.g., Asana, , Click Up) preferred.
Experience: Experience with website content management system (CMS) or learning management system (LMS)
ESSENTIAL FUNCTIONSThe Secretary/Clerk for Communications supports the Communications Department by assisting with website edits and updates; uploading and maintaining curricular materials on district websites in accordance with local, state, and federal requirements; and training and assisting district staff in updating school webpages. The position provides clerical and operational support for district communications initiatives, including assistance with translations and interpretation coordination, data organization and reporting, and social media support.
The role also assists with Open Records management, including document organization and ensuring proper red actions as required, maintains appropriate safeguards for sensitive information, and collaborates with the Chief Communications Officer and department staff on digital tools and workflow improvements.
- Demonstrates prompt and regular attendance
- Maintain effective working relationships with central office personnel, principals, administrators, media specialists, teachers, and Communications Department staff.
- Operate a variety of office equipment, software applications, and digital tools necessary to support Communications Department operations.
- Upload approved documents to the district website and learning management systems, ensuring accuracy, accessibility, and timeliness of publicly available information.
- Identify website content that is outdated or in need of revision and coordinate updates as appropriate.
- Monitor website uploads and updates to ensure required edits have been completed correctly and in a timely manner.
- Serve as a liaison to the Office of Academic Achievement and Programs to assist with the management and accuracy of curricular documents available on district websites.
- Support translation and interpretation efforts for the Communications Department to ensure district communications are accessible to multilingual families and stakeholders.
- Provide substantive support for district communications initiatives, including assistance with social media content coordination and scheduling.
- Assist with data collection, organization, and preparation of materials used for Communications Department projects and reporting.
- Assist with Open Records management, including document organization, coordination, and ensuring proper red actions in compliance with applicable laws and procedures.
- Maintain appropriate safeguards for confidential and sensitive information within the Communications Department and the Office of Academic Achievement and Programs.
- Perform other duties as assigned by the Chief Communications Officer.
- Strong written and verbal communication skills; demonstrated ability to communicate clearly and professionally in a collaborative work environment.
- Experience supporting translation and interpretation efforts a plus.
- Ability to deal courteously and diplomatically with others.
- Ability to communicate clearly and effectively, both orally and in writing.
- Ability to upload and monitor the content of a website.
- Skill in organization and management of assigned tasks
