We are seeking a detail-oriented and dependable Payroll Operations Coordinator to support the daily operational efficiency of our organization. This role plays a critical part in the secure preparation, packaging, and distribution of sensitive payroll documents, while also providing essential financial and administrative support to our Production Finance team.

What You'll Do- Accurately collate and organize payroll documents, including paychecks, direct deposit stubs, tax forms (W-2s, 1099s), and reports
- Ensure all materials are complete, accurate, and aligned with client specifications before distribution
- Fold, stuff, seal, and label envelopes or packages in accordance with company procedures and strict data security protocols
- Maintain the highest level of confidentiality and integrity when handling sensitive payroll data
- Identify discrepancies or issues and escalate them promptly to management
- Prepare shipping labels, tracking details, and return addresses using carrier software (UPS, Fed Ex, USPS)
- Schedule pickups and deliveries to meet payroll and year-end deadlines
- Track shipments, confirm delivery, and proactively resolve shipping issues
- Maintain accurate shipment logs for auditing and compliance purposes
- Support large-scale mailings such as year-end tax form distributions
- Assist with Accounts Payable and Accounts Receivable
- Support monthly, quarterly, and annual tax preparation activities
- Provide administrative and logistical support to Production Finance as needed
- Maintain a clean, organized, and secure packing and shipping workspace
- Break down and properly dispose of shipping materials and boxes
- Contribute to a professional, welcoming, and efficient office environment
- Strong attention to detail and organizational skills
- Ability to handle sensitive and confidential information with discretion
- Comfortable working with deadlines, particularly during payroll cycles
- Basic understanding of financial or administrative processes preferred
- Prior experience in payroll, shipping operations, or office administration is a plus
