Position Summary

The Office & Human Resources Manager is responsible for overseeing administrative operations and leading human resources practices that foster a high-performance, employee-oriented culture. This role ensures smooth office functionality, supports staff communication, and manages HR policies, recruitment, onboarding/offboarding, compliance, and employee relations. The position reports to the Director of Finance.

Key Responsibilities
Office Management
  • Serve as the primary point of contact for internal staff communications.
  • Monitor inventory levels and order office supplies as needed.
  • Maintain organized records of supply purchases and vendor contacts.
  • Manage facility maintenance contracts and vendor relations.
  • Coordinate with third-party IT support to resolve technical issues and implement upgrades.
  • Maintain company wide security and camera systems, including access controls.
  • Process auto and liability insurance claims.
  • Maintain property and asset management records (e.g., vehicle registration, insurance, accident records).
  • Oversee bi-weekly payroll processing, including time clock accuracy and benefit contributions, along with final reporting to the Finance Director.
  • Filing and organizing all Payroll related paperwork.
Human Resources
  • Maintain job descriptions and update job requirements for all positions.
  • Lead recruitment efforts, including background checks, interviewing, and onboarding.
  • Conduct new hire orientation and required training programs.
  • Manage offboarding procedures, including equipment collection and access termination.
  • Ensure legal compliance with HR-related federal and state regulations.
  • Administer and maintain Workers Compensation and General Liability claims.
  • Maintain historical HR records and filing systems.
  • Provide guidance and support to managers on employee relations, coaching, and disciplinary actions.
  • Maintain employee benefits programs and processing of benefit claims.
  • Under the direction of HR Committee, oversees investigations related to employee relations and grievances.
  • Develop and update HR policies and procedures.
  • Coordinate with leadership on employee development and performance appraisals.
  • Support special projects and initiatives as assigned by leadership.
Qualifications
  • Bachelor’s degree in Human Resources Management, Business Administration, or related field.
  • 5+ years of experience in HR and office management.
  • SHRM or HRCI certification preferred.
  • Valid driver’s license and reliable transportation for travel between offices.
Skills & Abilities
  • Strong interpersonal and communication skills.
  • Ability to maintain confidentiality and handle sensitive matters with discretion.
  • Excellent organizational and time management skills.
  • Experience working with diverse teams and nonprofit organizations preferred.
  • Proficiency in Microsoft Office Suite and HR systems.
