Key Responsibilities
- Enter supplier invoices into the system and ensure invoices match accurately.
- Request supplier statements, reconcile accounts to ensure accuracy and chase missing invoices as required.
- Support the company expense process and assist with reconciling expense reports.
- Process bank receipts/payments into accounts system and reconcile weekly reports.
- Contact customers for payment of invoices.
- Reconciling inventory reports weekly.
- Answer and transfer phone calls promptly and professionally.
- Manage the front desk, greeting and completing security check-ins.
- Escort service providers to appropriate areas within the facility.
- Sort and distribute incoming mail.
- Restock office supplies and coffee machines to keep the workplace running smoothly.
- Coordinate lunches, company activities, and events to foster a positive workplace.
- Scan and file records to comply with document retention requirements.
- Perform additional responsibilities as assigned to support team needs.
- High school diploma or equivalent.
- 1+ years of Accounts Payable or experience in a financial role.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office (e.g., Word, Excel) and basic data entry.
- Clear communication skills, both verbal and written.
- Reliable and professional demeanor with a customer-service mindset.
- Experience with accounting software or invoice processing.
- Familiarity with reconciling accounts or expense reports.
- Previous event coordination experience.
- Ability to stand and sit for long periods of time.
- Ability to perform repetitive motion (keyboarding, 10‑key, phones).
- Ability to lift up to 25 pounds.
