POSITION OVERVIEW
The Part-Time Bookkeeping Assistant supports the financial operations of Wareham Hall during an active capital project and organizational growth phase. This role focuses on accurate transaction entry, recordkeeping, and financial organization across multiple accounts and entities, helping ensure that leadership, auditors, and grant administrators have clean, reliable financial data.
This position is ideal for someone who is detail-oriented, comfortable working independently, and experienced with nonprofit or project-based bookkeeping.
It is also well-suited for a candidate seeking a limited number of hours per week in the near term, with interest in gradually increasing responsibility and time commitment as the organization transitions from construction into full operations. Over the next one to two years, this role is expected to grow in scope and hours, with the potential to evolve into a more substantial or full-time position once the theater is fully operational in late 2027.
CORE RESPONSIBILITIES
- Enter and categorize transactions in accounting software (e.g., Quick Books Online)
- Reconcile bank and credit card accounts
- Track expenses by project, fund, or cost center, including renovation and capital campaign activity
- Maintain organized digital records of invoices, receipts, and supporting documentation
Accounts Payable & Receivable Support
- Assist with processing invoices and payments
- Track reimbursements and vendor payments
- Support donation and pledge tracking in coordination with development staff
- Assist with deposits and revenue tracking across multiple income streams
Reporting & Compliance Support
- Prepare routine financial summaries for internal review
- Assist with grant, capital campaign, and construction-related financial reporting
- Support preparation for audits, reviews, and required state or federal reporting
- Help maintain clean records across affiliated nonprofit and LLC entities
- Flag inconsistencies, missing documentation, or unusual transactions
- Assist with improving bookkeeping workflows and documentation practices
- Provide ad hoc financial support as the organization scales toward reopening
QUALIFICATIONS
Minimum
- 5+ years of bookkeeping or accounting support experience
- Proficiency with Quick Books Online
- Strong attention to detail and organizational skills
- Ability to handle confidential financial information with discretion
- Comfort working independently and managing tasks with minimal supervision
Preferred
- Experience with nonprofit bookkeeping
- Familiarity with fund accounting, grants, or capital projects
- Experience supporting organizations with multiple entities or restricted funds
- Familiarity with donor management or fundraising systems
- Flexible schedule with agreed-upon deadlines
- Primarily asynchronous work, with occasional check-ins
- Strong communication and documentation habits are essential
- Accuracy and consistency are valued over speed
