Our client, a boutique real estate development firm, is seeking a skilled Executive and Personal Assistant to support the Managing Director.

Salary Range: $80,000 - $130,000 + discretionary bonus
Location: Manhattan Beach, Onsite
About the Role:
We are seeking a highly organized, proactive, and resourceful Executive/Personal Assistant to provide comprehensive support to the Managing Director while overseeing day‑to‑day office operations. This dynamic role requires exceptional attention to detail, a high level of discretion, and the ability to manage multiple priorities efficiently in a fast‑paced environment. You will act as the right hand to the executive, as well as the go‑to person for ensuring smooth business and personal operations.
Responsibilities:- Prepare and edit documents, reports, agendas, and presentations
- Take notes during meetings and follow up on action items
- Handle confidential information with discretion and professionalism
- Track important deadlines and assist with project management
- Coordinate personal appointments, reservations, travel, and events
- Assist with household staff communication and scheduling
- Run occasional errands and manage online/personal purchases
- Oversee the day‑to‑day operations of the office; maintain a clean, stocked, and organized workspace
- Liaise with vendors, service providers, and building management
- Order office supplies, equipment, and refreshments
- Coordinate team events, celebrations, and offsites
- Onboard new hires and help implement office systems and procedures
- Step in on ad hoc projects and provide support across departments when needed
- Help build and improve internal tracking tools and workflows in Excel, Smartsheet, or other platforms.
- 3+ years of experience as a Personal Assistant, Executive Assistant, or Office Manager
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- Ability to anticipate needs and exercise sound judgment
- Comfortable managing both professional and personal tasks
- Proficiency in Microsoft Office, task/project management tools (Smartsheet or ), and calendaring systems
- Discreet, trustworthy, and calm under pressure
- Flexible and adaptable to ever‑changing priorities
- Positive, proactive and solutions‑oriented attitude
- Comfortable in a fast‑paced, growing company environment with shifting priorities
- Eagerness to learn the real estate business and take on more strategic and analytical tasks over time
