Role Overview

The Vendor Supervisor is responsible for overseeing offshore vendor operations to ensure seamless purchase order execution, on-time production delivery, accurate pricing, and effective cross-functional coordination. This role manages the end-to-end vendor lifecycle from PO placement through production tracking, product handover to logistics, and performance reporting, ensuring alignment with business objectives, timelines, and cost targets.

How you will make an impact
1. Purchase order (PO) management
  • Review, validate, and place purchase orders with offshore vendors in alignment with demand forecasts and production schedules.
  • Ensure po accuracy including pricing, quantities, specifications, and delivery timelines.
  • Monitor po confirmations, resolve discrepancies in a timely manner and report fulfilment % to the wider business.
  • Maintain clear documentation and system updates for all PO activity.
2. Vendor critical path management
  • Develop and manage vendor production timelines and critical paths.
  • Track milestone adherence (sampling, approvals, production start, inspections, shipment readiness).
  • Proactively identify and mitigate risks that may impact delivery schedules.
  • Coordinate closely with vendors to ensure on-time and in-full (OTIF) performance.
3. Product handover to Logistics
  • Ensure production completion aligns with shipment schedules.
  • Confirm documentation readiness (packing lists, invoices, compliance documentation).
  • Coordinate smooth handover from vendor to freight forwarders/logistics partners.
  • Troubleshoot shipment delays and escalate issues where necessary.
4. Pricing & Cost management
  • Review and validate vendor pricing against agreed cost structures.
  • Support negotiations to achieve target margins and cost efficiencies.
  • Monitor cost variances and identify opportunities for savings.
  • Maintain accurate pricing records in internal systems.
5. Projects, Reporting & Analytics
  • Produce regular analytical reports on vendor performance, production status, and cost metrics.
  • Track KPI’s including OTIF, lead times, quality performance, and cost variances.
  • Provide executive-ready summaries highlighting risks, trends, cancelations, and improvement opportunities.
  • Conduct buy reviews to support better fulfilment and stakeholder visibility
  • Support data-driven decision-making across sourcing and supply chain teams.
  • Implement automation and operational best practices
  • Drive project delivery and identify projects that can improve overall performance
6. Vendor performance & relationship management
  • Act as the primary point of contact for offshore vendors.
  • Conduct performance reviews and implement corrective action plans where required.
  • Foster strong, collaborative vendor relationships to drive continuous improvement.
  • Ensure compliance with quality, ethical, and regulatory standards.
What you bring to the team
  • Bachelor’s degree in supply chain, business, operations, or related field or 3+ years experience in a relevant field
  • Experience in offshore sourcing, vendor management, or supply chain operations.
  • Strong understanding of production planning, critical path management, and international logistics.
  • Experience with ERP systems and advanced excel/data analysis skills.
  • Proven ability to manage multiple vendors and priorities in a fast-paced environment.
  • Excellent communication and stakeholder management abilities
