An opportunity for a Senior Administrative Officer has become available within the Safeguarding & Quality Assurance Unit. The post holder will be expected to minute Child Protection Meetings, Local Authority Designated Officer Strategy Meetings, and other meetings where necessary. Core business hours are 08:30a.m. 16:30p.m. This role is for 36 hours each week between these hours (however dependent on business needs you might be required to work outside of these hours in line with the Authorities flexi scheme).
This is a remarkably busy role and there is an expectation that the post holder can manage their own workload whilst working as part of a team to ensure work is completed within agreed timescales.
Candidates must be able to demonstrate how they meet the following key factors for the post in order to be shortlisted for interview:
- To be competent in the use of computers and PC based applications including Microsoft Office. To produce typed records/assessments and other pertinent information that are highly accurate.
- The ability to record and communicate complex information accurately and appropriately, both verbally and in written form in particular, the ability to take minutes in a professional manner to an extremely high standard (these can act as a record for court purposes in legal proceedings regarding children.)
- Working to deadlines: to be able to organise meetings; produce and distribute minutes and complete follow up actions within statutory deadlines.
- Organisational skills:
To arrange a variety of meetings for the Safeguarding Children and QA Unit. To ensure that prior to the meetings, all relevant documentation/information is prepared in sufficient time to allow consideration to the cases being presented. This will require liaison with partner agencies. To ensure that minutes and follow up actions are completed within the required timescales. - Confidentiality:
To ensure that confidentiality is always maintained and to give consideration to the secure storage of data relating to child protection matters. You should have due regard of the extremely sensitive and emotive nature of the subject matter and subsequent discussion of the cases being presented. - The ability to prioritise and manage your own workload and work flexibly across the team and Children Services to meet the needs of the service.
