Position: Scanning Assistant – 6 month FTC

Our Mailroom administrators provide an effective and efficient service, contributing to the smooth running of the business by providing a high quality, proactive and professional mailroom and scanning service to promote the best possible image of Chase de Vere. They support the day-to-day operation of the business including, but Clients, Providers and the wider business.

We continue our crusade to become paperless across our offices and are currently looking to recruit a scanning assistant to join our team in Manchester.

What your role will involve
  • Coordinating File Retrieval from Storage Initiating and managing requests for archived files from off-site storage facilities, ensuring timely and accurate retrieval in line with operational needs.
  • Liaising with Branches for File Delivery Communicating with branch offices to arrange the secure and efficient transfer of physical files, maintaining clear records of requests and deliveries.
  • Updating Internal Systems Accurately logging file movements and status updates within internal tracking systems to maintain data integrity and support audit requirements.
  • Preparing Files for Back Scanning Organising and categorising physical documents in preparation for digital conversion, including removing staples, repairing damaged pages, and ensuring correct indexing.
  • Scanning Documents into VC (Virtual Cabinet) Digitally scanning and uploading documents into the Virtual Cabinet system, ensuring files are correctly named, indexed, and stored in accordance with company protocols and data protection standards.
What you will need
  • Have good working knowledge of MS office
  • Be a great team player and be hard working
  • Previous scanning experience would be beneficial
