Summary

We are seeking an exceptional PA / Executive Assistant to provide high-level, proactive support to the CEO of LIVINGWAY. This role requires impeccable organisation, strong communication skills, the ability to anticipate needs, and the capability to operate with absolute discretion. You will work at pace, managing a diverse workload that spans business operations, strategic coordination, and stakeholder liaison. This position is critical in enabling the CEO to focus on strategic priorities, leadership, and business growth.

Key Responsibilities
  • Executive Support & Diary Management
  • Manage the CEO’s complex diary, ensuring prioritisation of strategic commitments, team meetings, investor discussions, and site visits.
  • Arrange all meetings, internally and externally, ensuring preparation, agenda coordination, and timely follow-ups.
  • Act as the gatekeeper for the CEO’s time, screening communications and making informed decisions on urgency and importance.
  • Operational & Administrative Support
  • Prepare high-quality documents, briefing packs, presentations, and reports for internal and external audiences.
  • Manage email inboxes, correspondence, and document flow, ensuring the CEO remains briefed and aligned across all work streams.
  • Coordinate business travel, accommodation, itineraries, and event schedules.
  • Maintain confidentiality across all matters, always ensuring data integrity and professional conduct.
  • Strategic & Project Coordination
  • Support with delivery of key strategic initiatives across LIVINGWAY, including new developments, investor relations, team wellness programmes, brand initiatives, and operational projects.
  • Conduct research, compile insights, and prepare executive summaries to inform decision making.
  • Assist with oversight of key business functions and follow up with department leads to ensure deadlines and deliverables are met.
  • Stakeholder Management
  • Serve as a professional representative of the CEO in communications with internal team members, external partners, investors, and clients.
  • Build effective working relationships across the organisation to streamline communication and ensure alignment on priorities.
  • Administration & Organisation
  • Set up and maintain organisational systems that improve efficiency, productivity, and information flow for the CEO.
  • Assist with personal administration when required to ensure focus on business-critical responsibilities.
Skills & Qualities Required
  • Exceptional organisational ability and attention to detail.
  • Ability to work under pressure, manage multiple priorities, and adapt to the fast-paced nature of a scaling organisation.
  • Strong communication skills, both written and verbal, with a polished and professional manner.
  • High emotional intelligence, discretion, and ability to handle sensitive information.
  • Confident working independently and taking initiative.
  • Proficiency in Microsoft Office, Google Workspace, and digital productivity tools.
  • Strong problem-solving skills and the ability to anticipate needs.
Experience Required
  • Demonstrable experience as a PA, EA, or Executive Assistant supporting senior leaders or C‑Suite.
  • Experience in a high-growth, multi-stakeholder, or operationally complex environment is advantageous.
  • Experience working in property, BTR, hospitality, or a service-led business is desirable but not essential.
  • Proven ability to work with discretion and handle confidential information.
