Scheduling Manager (Administrative)

Who You AreAmoskeag Health is seeking a dedicated and experienced Scheduling Manager to provide strategic oversight and operational leadership for all scheduling and patient transportation functions across Amoskeag Health, serving approximately 16,000 patients. You will ensure optimal provider productivity, patient access, and resource utilization through data-driven decision-making, team leadership, and cross-functional collaboration with clinical and administrative leadership.
What You’ll Do Strategic Scheduling Leadership- Analyze and report out on scheduling data to identify utilization trends, capacity gaps, and opportunities for improved patient access
- Develop and implement scheduling strategies that balance patient demand with provider capacity and organizational goals
- Design and maintain provider schedule templates that optimize productivity while supporting work-life balance
- Lead continuous improvement initiatives to enhance scheduling efficiency, patient experience, and staff satisfaction
- Oversee daily clinic operations related to appointment scheduling, provider coverage, and resource allocation
- Manage provider call schedules in partnership with the CMO, ensuring appropriate coverage and communication with hospital, answering service, and staff
- Coordinate planned time off (PTO) with clinical leadership to minimize disruption to patient care and provider availability
- Ensure timely rescheduling of appointments due to provider absences, meetings, or other scheduling changes
- Oversee patient transportation coordination, including patient satisfaction and the monitoring of transportation functions impact on scheduling and no-shows
- Supervise, mentor, and develop a team of 3 scheduling staff members
- Establish performance standards and provide regular feedback and coaching
- Lead training and orientation for new team members and providers on scheduling systems and protocols
- Foster a culture of accountability, customer service excellence, and continuous learning
- Monitor scheduling quality metrics including appropriate appointment type utilization, data completeness, and no-show rates
- Ensure compliance with FQHC requirements and organizational policies
- Produce and distribute comprehensive reports on key scheduling metrics for senior management and operational teams, including daily, weekly, and monthly productivity and volume reports
- No-show rates and patterns
- Provider utilization and capacity analysis
- Transportation utilization and efficiency metrics
- Present findings and recommendations to leadership for strategic planning purposes
- Participate actively in organizational meetings, committees, and quality improvement initiatives
- Partner with clinical leadership to align scheduling practices with clinical workflows and patient care priorities
- Coordinate with IT on system optimization and reporting capabilities
- Support organizational safety and infection control initiatives
