Assistant Service Manager

Introduction:
We are seeking a highly organized and detail-oriented individual to join our team as an Assistant Service Manager. The Assistant Service Manager will support the Service Manager in overseeing all aspects of our service department operations. This is a crucial position within the organization, ensuring efficient service delivery, maintaining customer satisfaction, and maximizing profitability.

Responsibilities

Support Service Manager:
Assist the Service Manager in planning, organizing, and executing service activities to achieve department goals and objectives. Collaborate closely with the Service Manager to ensure the smooth functioning of the service department.

Customer Relationship Management:
Communicate effectively and professionally with customers to understand their service needs and address any concerns. Provide exceptional customer service, demonstrating empathy and understanding to build positive relationships and exceed customer expectations.

Technical Expertise:
Develop a comprehensive understanding of our products and services to efficiently troubleshoot and diagnose technical issues. Assist service technicians in resolving complex technical problems and provide guidance where necessary to ensure effective and timely resolutions.

Team Management:
Supervise and support service technicians, assisting with skill development, providing feedback, and ensuring adherence to service standards and safety guidelines. Coordinate work schedules, manage technician time-off requests, and allocate resources effectively to efficiently handle service requests.

Documentation and Reporting:
Maintain accurate records of service activities, including customer interactions, service requests, and warranty claims. Prepare detailed reports on service performance, identifying trends and areas for improvement. Provide regular updates to the Service Manager and other stakeholders.

Inventory Control:
Assist in managing the inventory of spare parts, tools, and supplies necessary for service operations. Collaborate with procurement and warehouse teams to ensure adequate stock levels and minimize downtime for customers.

Performance Tracking:
Monitor key performance indicators (KPIs) such as service response time, customer satisfaction, and technician efficiency. Identify opportunities for improvement and propose strategies to optimize workflow, reduce costs, and enhance productivity.

Requirements

Minimum high school diploma or equivalent; bachelor s degree in a relevant field is preferred.
Proven experience in a service-intensive environment, ideally within a similar industry.
Strong technical skills and ability to understand and troubleshoot complex technology.
Excellent organizational, time management, and multitasking abilities.
Exceptional communication and interpersonal skills.
Leadership qualities and the ability to motivate and guide a team.
Proficient in using computer software and systems to handle service-related tasks.
