This position manages the student admissions process/systems and preparations processes for the 1500+ applications and 800+ International Programs participants annually. This position fills a crucial role in making it possible for students to study abroad, there by attaining a life-changing experience that will contribute to being a better global citizen.
Duties- Oversees and implements student visa acquisition processes, including leading visa acquisition for approximately 500 students annually; ensuring IT systems are working properly to collect, store, and process thousands of visa documents and other vital documents; leading virtual and in-person workshops; preparing immigration letters on behalf of students; independently managing visa document correction processes and document transmitting processes with government entities.
- Advises and assists students in additional preparations processes, including securing passports and second passports (when necessary), booking flights and upholding the IP Flight Policy, explaining the health clearance process and other requirements for students participating in IP experiences, and following up with students regarding missing elements of the above.
- Coordinates information management system implementation and enrollment management in conjunction with external constituents and other members of the IP team.
- Leads faculty-in-residence visa procurement process. Manages detailed and complex visa processes and requirements including documentation collection and negotiations with legal entities globally to ensure Seaver Malibu faculty are able to work legally in each foreign context.
- Leads immigration emergency response efforts. Responds to urgent faculty and student visa needs by providing direction and connecting to resources. Emergency response efforts require the staff person to periodically be available during evenings and weekends.
- Consults with students and families about the withdrawal and appeal process.
- Supervises student staff.
- Perform other duties as assigned including coordinating aspects of the student admissions and preparation processes.

Skills and Qualifications Required- Bachelor's degree and a minimum of three years experience in study abroad, experiential education, or other related area.
- Ability to work as a part of a team and independently; excellent attention to detail; conscientiousness; advanced oral and written communication skills; excellent interpersonal skills.
- Ability to work on a mac-based computer. Proficient in Microsoft Office and Google Suite applications, especially Excel/Google Sheets.
- Ability to use standard office equipment (phone, fax machine, copy machine).
- Experience with database management and/or CRM systems.
- Master's degree and/or five years of industry experience in study abroad, experiential education, or other related area.
- Significant interaction with study abroad programs in a University setting (professional experience preferred although participation in said programs will be considered).
- Experience utilizing CRM database technology; familiarity with Pepperdine culture, group travel, study abroad/experiential education, and admissions processes.
- Advanced skills in Microsoft Office, especially Excel.
- Knowledge and experience with People Soft and Google products.
- Significant experience with database management/CRM systems.
This is a Regular, Exempt, 40 hour per week position.
Expected Pay Rate: $70,500 per year
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
