Overview

Reporting to the Executive Director of Advancement Administration, the Advancement Operations Manager provides strong operational and administrative support to the Advancement department, developing and implementing initiatives that promote employee engagement and reinforce the Pepperdine mission.

The Advancement Operations Manager will assist with the execution of Advancement events, including holiday parties, monthly all-staff meetings, annual retreats, bi-annual bell ringings, and other celebrations. This position will find ways to recognize Advancement staff and promote a positive work environment.

This position will assist with transactional human resources processes for the department, including assisting with onboarding and offboarding, hiring best practices, updating job descriptions, and filling out employee action request forms.

The individual in this role will also manage the third-floor shared mailroom and break rooms, ensuring that all communal areas are well-maintained and appropriately supplied.

Duties
  • Develop and implement initiatives that promote employee engagement and reinforce the Pepperdine mission.
  • Assist with the coordination and execution of Advancement events, including holiday parties, monthly all-staff meetings, annual retreats, bi-annual bell ringings, and other celebrations. Responsibilities include securing meeting spaces, arranging AV equipment, ordering refreshments, submitting requisitions and paying invoices, and managing other logistical needs.
  • Plan occasions to celebrate staff and promote a positive work environment.
  • Oversee the Unreasonable Hospitality Challenge. Organize celebrations for employees and their life milestones, in addition to supporting staff members during times of grief and personal loss.
  • Under the supervision of the Executive Director of Advancement Administration, and in coordination with Human Resources, review departmental position proposals to ensure organizational structure, compensation level, internal equity, and other considerations are fully vetted.
  • Manage all staff changes, ensuring appropriate paperwork and approvals are received.
  • Assist managers in best practices for following proper procedures for hiring and updating job descriptions in Page Up.
  • Prioritize and maintain confidentiality with any proposed position changes. Actively help to implement policies, practices, and programs developed by Human Resources across the department.
  • Assist with the onboarding of staff, including ordering equipment, preparing the workspace for the employee's first day, and creating a welcoming environment.
  • Purchase laptops, monitors, etc., coordinate set-up with IT, and manage all technology inventory.
  • Purchase supplies for the mailroom and breakrooms on the third floor, ensuring that break rooms are always well-stocked with necessary supplies (coffee, cleaning supplies, paper, etc.) and tracking inventory regularly.
  • Serve as a back-up to the third-floor receptionist desk while student workers are unavailable or off during summer/holiday breaks.
  • Provide impeccable front-line customer service to all visitors.
  • Answer incoming phone calls and forward to the appropriate party or department.
  • Update Advancement's directory of all staff members to ensure contact information is up to date and available for colleagues and emergency response purposes.
  • Update departmental organizational chart through online platform.
  • Assist in managing day-to-day operations of the department, including sorting mail, processing room bookings through 25

    Live, and ensuring conference room doors are locked at the end of the day.
  • Perform other duties as assigned.
  • Uphold the University's mission through work performed.
