The Customer Service Representative (CSR) is responsible for delivering exceptional client service. The CSR manages patient admission and discharge, schedules appointments, answers phones, relays messages, and maintains a welcoming atmosphere for clients.
Responsibilities- Greet clients and pets promptly and accurately; build rapport in person and over the phone.
- Assist clients with admission forms, releases, and payment collection.
- Maintain accurate computer records and patient charts; update schedules and confirmations.
- Provide client education materials and explain fee estimates.
- Schedule, reschedule, and confirm appointments; follow up on missed appointments.
- Handle client complaints with concern and diplomacy.
- Sell medical products and services as directed by veterinarians.
- Maintain cleanliness of lobby, waiting rooms, and front office; monitor supplies and cleaning checklists.
- High School Diploma; some college education preferred.
- Minimum 2 years customer service–oriented work experience.
- Excellent client service, phone, oral, and written communication skills.
- Friendly, outgoing, people–oriented personality.
- Ability to prioritize multiple tasks and handle high stress in a changing environment.
- Comfortable working with computers, Microsoft products, and learning new programs.
- Ability to handle money accurately and honestly.
- Must interact professionally with all staffing levels.
- Dependable attendance required.
- Must lift 40 lbs and perform tasks continuously for a minimum of 8 hours a day.
- Visual acuity sufficient for accurate records and written directions.
- Fine motor skills adequate for computer and hospital equipment.
- Adhere to appropriate dress code, proper scrubs (for surgery), and name tag.
- Animal areas may be humid, noisy, and odorous; exposure to fleas, ticks, and zoonotic diseases.
- Handling animals carries risk of bites or scratches; dust and pet dander common.
