Gestion Providentia, a non-profit organization providing management and administration services for congregations and their charitable works, is seeking an independent contractor based in Old Orchard Beach (Maine, USA) for a mandate to support Sisters of Our Lady of the Holy Rosary in their daily activities.
Scope of Work:Personal Support Services
- Maintain awareness of the sisters’ comfort and well-being, identifying expressed and unexpressed needs.
- Offer reminders related to appointments, liturgy, or participation in chosen activities, fostering autonomy, self-esteem, and personal dignity.
- Facilitate access to recreational, social, or exercise activities and accompany the sisters to medical appointments or other necessary outings.
- with the purchase of personal items in accordance with provided guidance.
- Coordinate or facilitate maintenance services and logistical support when a demonstrated need exists or upon request.
- Support room transfers or reconfigurations, including organization, decoration, tidying, and management of personal belongings.
- Provide or coordinate access to furniture, supplies, or equipment required for everyday living.
- Provide basic assistance with communication tools (phone, tablet, voicemail, email) and basic troubleshooting for common computer-related issues.
- Encourage and facilitate participation in liturgy, prayer periods, and community life in accordance with each sister’s preferences, acknowledging birthdays and special occasions.
- Inform the sisters of relevant religious, social, and recreational community events.
- Provide updates twice a month to designated contacts regarding the sisters’ general condition, services provided, spiritual life, and any other relevant information deemed appropriate within the scope of the engagement.
- Support preparation of budgets and financial forecasts, as requested.
- Track and document petty cash expenditures under the direction of an authorized representative.
- Coordinating with suppliers, including invoice processing and follow-up.
- Prepare and monitor invoices and receivables for review and action by the authorized representative.
- Monitor and reconcile credit card transactions and payments.
- Prepare documentation for cheques and electronic payments.
- Act as a liaison with government authorities regarding personnel-related files of congregation members, as applicable.
- Communicate with financial institutions for information-gathering and administrative support, without account access or signing authority.
