Administrative Assistant Position Purpose
To assure the smooth and efficient operation of the main office so that the needs of students, staff and school community are met.
Essential Functions- Efficiently manage all main office functions
- Provide administrative assistance and support to the building administrator
- Serve as the first point of contact for all visitors
- Draft and distribute all school-wide communications
- Maintain daily attendance records and coordinate with parents regarding student absences
- Assist with the registration and enrollment of new students, maintaining up-to-date physical and digital files
- Possess strong organizational skills and the ability to prioritize workload to meet deadlines
- Maintain all school records as directed by the building administrator
- Maintain all staff records as directed by the building administrator
- Maintain confidentiality about all aspects of student performance and written and verbal records
- Process supply orders, manage the school budget ledger, and coordinate with vendors
- Coordinate logistics for school events, field trips, and substitute teacher arrivals
- Administer basic first aid (band-aids, ice packs) and coordinate with the school nurse for more serious health needs
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the main office and school operations.

Travel RequirementsLimited travel to and from meetings may be required.
Knowledge, Skills, and Abilities- Ability to describe problems and work orally or in writing to supervisor as needed.
- Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
- Ability to carry out instructions furnished in written or oral form.
- Ability to add, subtract, multiply and divide, and perform arithmetic computations.
- Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint).
- Ability to problem-solve job-related issues.
- Ability to work with a diverse group of individuals.
- Ability to process paperwork accurately according to standardized procedures.
- Ability to maintain confidentiality of information regarding students, employees and others.
- Organizational, scheduling, and time management skills.
Knowledge of office management procedures.
