Job title: Adult Education Administrative Assistant (Hourly)
Schedule: Year round, average 36 hours per week, with 2 evenings
Salary: $24.84 per hour

Supervisor: Director, Marshwood Adult and Community Education
Education Level: High School Credential required. Secondary education or equivalent work experience with office administration, customer service, community outreach, student relations and digital marketing is preferred. MDOE CHRC eligibility is required.
Scope of Work: The specific work calendar aligned with programming for the Tuesday and Wednesday evenings will be provided to interested candidates. You may reference the Administrative Assistants handbook for benefits.
Key Responsibilities:
- Financial Bookkeeping: Manage program’s financial bookkeeping, create shared Google files, process payroll, verify transactions, maintain books of accounts, reconcile, forecast spending, make deposits, prepare reports.
- Administrative & Clerical Support: Coordinate office activities, maintain accurate records, provide accurate academic and enrichment program information, manage phone and website inquiries, schedule classes/meetings, maintain filing systems, assist director with correspondence, grants, and reports.
- Community Programming: Create, plan, secure and market enrichment classes, reach out to community members, screen and recommend instructors, distribute brochures, analyze data, support program activities, oversee testing, plan events.
- Collaboration: Work with RSU #35 financial personnel, coordinate equipment upgrades, inventory, and supplies, collaborate with other adult education programs to meet goals.
- Excellent communication, listening, and follow‑through skills.
- Ability to interact positively with people from varied backgrounds and adhere to FERPA and confidentiality.
- Proficient in administrative and bookkeeping skills including Google Office, MS Office, Word, Excel, Word Press, and office equipment.
- Understands complex multi‑step written and oral instructions.
- Ability to upgrade skills to respond to changing job conditions.
- Participate in professional development opportunities as mandated by the State of Maine Adult Education office.
- Comfortable working independently and collaboratively as required.
- At least 1 year of relevant experience preferred.
- High School/Trade School degree preferred.
- Citizenship, residency, or work visa required.
