Schedule: May include evenings, weekends, and holidays
The Waitlist Administrator is a cornerstone of the shelter's mission, playing a powerful role in helping men take their first step toward safety and stability. This position is often the first welcoming voice someone hears when seeking shelter, and it carries the responsibility—and privilege—of ensuring access is handled with fairness, care, and dignity. By managing the guest waitlist and coordinating intakes, the Waitlist Administrator helps create an organized, compassionate, and responsive shelter environment where every individual is treated with respect.
WhatYou ll Do
- Thoughtfully manage and maintain the shelter s guest waitlist, ensuring accuracy, transparency, and equitable access to shelter beds.
- Serve as the primary point of contact for individuals seeking shelter, offering clear information, reassurance, and a trauma-informed approach.
- Conduct initial screenings or assessments in accordance with shelter policies while prioritizing dignity and respect.
- Collaborate closely with Shift Supervisors, Shelter Assistants, Case Managers, and outreach staff to coordinate intakes and respond to changing needs.
- Notify guests when space becomes available and help ensure a smooth, welcoming, and organized arrival experience.
- Track guest admissions, exits, and length of stay to maintain reliable occupancy and utilization data.
- Support prioritization efforts based on vulnerability, urgency, and established criteria.
- Prepare meaningful reports that help guide shelter operations and improve services.
- Safeguard confidentiality and uphold ethical standards in all aspects of the role.
- Contribute to general administrative and recordkeeping tasks as needed.
- You are organized, detail-oriented, and able to manage multiple priorities with calm and care.
- You communicate clearly and compassionately, even in high-pressure or emotionally complex situations.
- You are comfortable working with diverse populations and committed to equity and fairness.
- You value collaboration and understand the importance of teamwork in a shelter environment.
- You maintain professional boundaries while leading with empathy.
- High school diploma or equivalent required; associate s degree preferred.
- Experience in social services, shelter operations, or a related field is a plus.
- Strong communication, organizational, and data-entry skills.
- Proficiency in Microsoft Office and client management or database systems.
- A genuine commitment to supporting men experiencing homelessness with dignity, respect, and compassion.
