Summary

The Enterprise Resources Planner (ERP) and Technical Systems Specialist is responsible for maintaining, supporting, and optimizing key systems that power Second Harvest’s food flow, from sourcing through warehouse management to partner-facing distribution. Primary responsibilities include ERP (Ceres/NAV), CRM (Salesforce), and related inventory and reporting systems. This role ensures data integrity, user support, and accurate reporting across teams that interface with food and people, such as Operations, Partnerships and Community Impact, Inventory, and Administrative Coordination.

This position also plays a key role in aligning system functionality with supply chain processes, ensuring information flows smoothly between departments, reducing redundancy, and helping the organization make better decisions through stronger data and systems. The position reports to the Director of OAIT and sits within the Operations department.

Position Responsibilities & Essential Functions ERP and Inventory System Support
  • Provide day-to-day system structural support and troubleshooting for Ceres/NAV and related warehouse management systems
  • Maintain user access and permissions, support new user setup, and coordinate basic configuration tasks
  • Perform data quality checks, and support inventory team in investigating inventory discrepancies
  • Support sourcing and fulfillment teams with data entry for item creation, unit conversions, warehouse locations, and agency orders as needed
  • Assist with system documentation, technical instructions, and internal user guides
  • Support finance teams with month‑end and year‑end processes including inventory audits and physical inventory prep as needed
  • Partner with the Director of Optimization, Analytics, and IT to implement WMS, ERP and CRM system updates and perform testing
  • Coordinate with Inventory and Warehouse teams to align WMS, ERP, and CRM system use with on‑the‑ground logistics practices
CRM Support (Salesforce)
  • Assist with the maintenance of Salesforce data and functionality related to partners, agencies, and programs
  • Collaborate with Partnerships and Community Impact to ensure accurate functionality, reporting, and dashboards
  • Under the supervision of the Director of Optimization, Analytics, and IT, run reports and support data pulls for external reporting, grant compliance, and internal decision‑making
  • Support improvements to how neighbor and partner data is tracked and tied to the food bank’s supply chain visibility
  • Contribute to standardizing data across ERP, WMS, and CRM systems for more holistic visibility
Process Improvement and Cross‑Functional Collaboration
  • Support process documentation efforts that identify inefficiencies and opportunities for automation
  • Participate in the review of business processes across departments to improve system integration and food flow
  • Help facilitate communication between Operations, IT, Community Impact teams, and Inventory around shared system needs
  • Support cross‑departmental troubleshooting and resolution of data and reporting issues
  • Assist in the creation and maintenance of internal project timelines, testing protocols, and system task tracking
