Job SummaryThe Athlete Administration Coordinator is a key support role within the University of Wisconsin Athletics Department, providing operational, administrative, and strategic assistance to the Deputy AD | COO – General Manager and Directors of Athlete Administration. This position supports the day-to-day execution of athlete administration functions, including revenue share tracking, contract administration logistics, athlete and agent communications, and coordination with various stakeholders.
The coordinator plays a critical role in ensuring processes are organized, compliant, timely, and aligned with departmental strategy, while supporting high-level decision-making in a fast-paced, evolving environment.
Provide operational, administrative, and analytical support to the Deputy AD | COO – General Manager and Directors of Athlete Administration in the execution of athlete administration strategy, including:
- Coordinate across sport programs and athlete administration staff to ensure alignment and execution
- Assist with tracking, maintaining, and updating sport-specific revenue share and cap-related data and documentation
- Ensure accuracy and timeliness of data entry within university systems and internal tracking tools
- Support consistent application of revenue share policies, procedures, and compliance requirements
- Conduct background research and compile comparative or market data to support planning and decision-making
- Assist with implementing and refining processes, systems, and workflows as athlete administration evolves
- Prepare summaries, trackers, and briefing materials to support leadership decision-making
- Support scheduling, meeting preparation, follow-ups, and documentation related to athlete administration initiatives
Support the administration of revenue share contracts and serve as an operational resource for athlete and agent-facing processes, including:
- Assist with contract preparation, coordination, distribution, tracking, and execution across multiple sports
- Manage contract timelines, workflows, and documentation to ensure deadlines and compliance requirements are met
- Maintain organized records, templates, and process documentation related to athlete contracts
- Coordinate with internal stakeholders to support contract processing and payments
- Support onboarding of incoming student‑athletes related to athlete administration systems and requirements
- Maintain and update agent databases, contact lists, and communication logs
- Support the development of communication materials, guides, and resources for athletes and agents
This position may also perform other duties as assigned in support of the Deputy AD | COO – General Manager and athlete administration operations.
Key Job Responsibilities- Serves on committees and attends meetings, representing the interests of the unit or program
- Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
- Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
- Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
- Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success

CompensationThe minimum starting salary will be $48,107, but is dependent on the selected applicant's qualifications and experience.
