Job Summary:
This position will provide administrative program support to the department leadership of the Department Neurological Surgery. This position tracks, prioritizes, organizes, and completes multiple ongoing projects in various stages of progress.
This position will also assist the department leadership in the administrative affairs of the department including but not limited to budgeting, HR, Payroll, and Financials.
Additional Information:
- This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
- Monday through Friday 8:00a.m.
- 4:30p.m.
Key
Job Responsibilities:
- Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
- Provides HR administrative support.
- Answers reimbursement or travel questions and provides information based on set materials and standards to various audiences;
Reviews transaction processing internal controls and recommends policies and procedures.
- Audits or reconciles original purchase documents with payments.
- Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies.
- Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
- Prepares and audits complex records, edits documents, and reviews work done by others
- Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures

The Department of Neurological Surgery at the University of Wisconsin provides outstanding care and treatment for patients with brain, spine, and peripheral nerve diseases, disorders, and injuries; advances neuroscience knowledge through basic and clinical research; and trains students, residents, fellows, and allied health professionals.
Compensation:
The starting hourly wage for the position is $26.02 per hour; but is negotiable based on experience and qualifications.

Required Qualifications:
- At least one year of related experience.
- Excellent interpersonal, human relations, verbal and written communication skills.
- Courteous, responsive, and service oriented.
- Ability to work cooperatively to coordinate multiple projects and demonstrate independent decision-making.
- Considerable experience and proficiency in PC software such as Microsoft Word, Excel, Access, email (Outlook) and calendar software, computer database and spreadsheets.
Preferred Qualifications:
- At least two or more years of related experience.
- Knowledge of and experience with UW Health and School of Medicine and Public Health policies and procedures.
- Knowledge of HIPPA requirements, ability to maintain confidentiality and use discretion.
- Intermediate transcription skills.
Education:
- High School Diploma preferred.
