We’re seeking a proactive, highly organized Executive Administrative Assistant / Operations Associate to support a senior advisor and ensure smooth day-to-day operations. You’ll manage calendars, coordinate meetings, prepare client materials, and play a key role in shaping the client experience.
What You’ll Do Executive Support & Calendar Management- Act as gatekeeper for senior advisor’s communications and schedule
- Manage a dynamic calendar, resolve conflicts, and prepare meeting materials
- Coordinate Zoom and in-person meetings, take minutes, and track follow-ups
- Handle incoming communications with discretion and timeliness
- Open and maintain client accounts
- Track business submissions and planning progress
- Maintain organized records and follow through on action items
- Prepare client correspondence, reports, and presentations
- Serve as the central hub for office operations
- Collaborate with team members to complete shared tasks
- Proactively resolve issues with clients and partners
- Enhance internal systems, workflows, and databases
- Minimum of 2+ years of professional administrative experience in financial services (required).
- Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams)
- CRM experience (required)
- Strong technology skills and understanding of digital workflows
- Exceptional communication skills (phone, written, interpersonal)
- Bachelor’s degree or equivalent experience (preferred)
- Collaborative and adaptable in dynamic environments
- Strong time management and organizational skills
- High attention to detail

- Ability to manage multiple tasks and meet deadlines
