The Mississippi Department of Rehabilitation Services (MDRS) is a state agency dedicated to helping Mississippians with disabilities to live and work independently. MDRS serves through four major programs:
Vocational Rehabilitation (VR), Vocational Rehabilitation for the Blind (VRB), Office of Special Disability Programs (OSDP), and Disability Determination Services (DDS). This position is with the Office of Special Disability Programs. The Administrative Assistant provides essential administrative and clerical support to ensure the smooth operation of office functions and program processes. This role is responsible for managing a variety of tasks including data entry, document handling, communication, and maintaining internal systems. The position also supports program staff with compliance and record-keeping activities related to personnel and client services.
Key Responsibilities- Serve as the first point of contact for internal and external communications, including phone calls, emails, and visitors.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Maintain filing systems—both electronic and paper—ensuring documents are accurately filed and easily retrievable.
- Order and maintain office supplies and inventory.
- Support departmental budgeting processes by tracking expenses and preparing reports as needed.
- Handle sensitive information with discretion and maintain confidentiality at all times.
- Assist with onboarding of new staff and coordination of departmental training or events.
- Mail out debit cards and training certificates to program participants.
- Update Personal Care Assistant (PCA) addresses and related information in the Accessible Automated Case Environment (AACE) system.
- Enter background check information into AACE and ensure accuracy.
- Input new hire information into the Mississippi New Hire Reporting Database.
- File Authorization to Release forms in accordance with program protocols.
- Assist with searches in the Office of Inspector General (OIG) and Certified Nursing Assistant (CNA) databases for verification and compliance purposes.
- Other related duties as assigned.

Typically requires a High School Diploma or equivalent and 3-5 years of experience.

- Administrative or clerical experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with database systems such as AACE and MS New Hire reporting.
- Familiarity with regulatory or compliance‑related tasks.
- Experience in government, healthcare, or social services settings is a plus.
This is a non‑state service (NS14) time‑limited position with the Mississippi Department of Rehabilitation Services (MDRS).
Salary$33,041.28 - $38,960.25 Annually
