Summary
The Deputy Clerk I is responsible for accepting payments and providing clerical support to the probation staff and the Chief Probation Officer.
Essential Duties And Responsibilities- Maintains daily roster of probationers and monitors the reporting process.
- Answers and screens incoming calls; directs calls to appropriate office.
- Receives defendants and other visitors.
- Places calls to defendants on behalf of probation officers.
- Processes new cases as received from court.
- Figures fines and fees on new cases.
- Types bench warrants, restitution letters, clearance letters, and discharge letters.
- Collects and enters fines, fees, and restitution from probationers.
- Enters the case history of each probationer following conviction.
- Balances cash received against computer total; make deposits.
- Disburses checks and completes forms for monies distributed.
- Checks cases, distributes returned bench warrants, and monitors defendant’s release from jail for Probation Officers.
- Opens and distributes mail, post checks to proper accounts.
- Performs other related duties as assigned.
The Deputy Clerk I should possess, at minimum, a high school diploma or equivalent; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position. Participate in and successfully complete the 16-hour initial training classes within 6 months of hire.
NecessarySpecial Requirements
- Possession of a valid Georgia Motor Vehicle Operator’s License.
- Be at least 18 years of age
- No felony convictions
- Must be authorized to work legally in the United States.
- Knowledge of the laws and procedures governing the functions of the State Court.
- Knowledge of the functions, operations, and procedures of State courts.
- Knowledge of relevant state laws governing the State courts and civil procedure.
- Knowledge of legal terminology, particularly that involved in State court matters.
- Knowledge of the system of courts in the State of Georgia, including appellate courts.
- Knowledge of basic mathematics and simple accounting or bookkeeping.
- Knowledge of Microsoft Office products and office equipment.
- Knowledge of English grammar and spelling. Strong oral and written communication skills.
- Ability to maintain appropriate confidentiality and security of private or confidential information.
- Ability to work effectively with members of all levels within the organization and public.
- Ability to show good judgment, consistency, timeliness, and respect in decision-making.
- Ability to achieve results on a timely basis.
