** We’re looking for a self-motivated and highly organised Admin Assistant to join our friendly and fast-paced Special Orders team. This is a great opportunity to play an important behind-the-scenes role, helping us deliver exceptional service and ensure every special order is handled with care and attention to detail.
This is a part-time position of 30 hours per week, with days negotiable across either four or five days, Monday to Friday. Some flexibility will be required during peak periods, which may include occasional weekend working on a rota basis, shared in advance.
As our Special Orders Admin Assistant, you’ll be passionate about delivering a great customer experience and will support the team in fulfilling customer orders as efficiently and profitably as possible — helping us bring special moments to life for our customers.
** Main Responsibilities
*** Completing the Store Customer orders using our inhouse Elucid system
* Communicating with our suppliers and stores using phone and email
* Chasing and communicating with suppliers on our outstanding orders
* Ensuring all audit controls are met to ensure stock levels are correct
* Decision making based on balancing customers’ needs with company profitability
* Using Microsoft Dynamics NAV to:
Check stock availability and upcoming stock orders/ Chase orders with suppliers

* Excellent verbal and written communication skills
* Experience in the use of Microsoft packages, predominantly Outlook & Excel
* Ability to prioritise tasks and manage time effectively to meet deadlines
* Analytical and organised
* Quick to learn new systems and procedures
* Flexible working approach and ability to thrive on a reactive department
* Self-motivated and positive
* Ability to work within a team, on your own and under pressure
* Ability to follow set procedures
** DESIRABLE SKILLS AND EXPERIENCE
*** Experience of using Microsoft Dynamics NAV
* Previous experience within a customer service role and/or quality control
* Confident decision-making skills
* Knowledge of Beaverbrooks product
