The Project Manager Assistant

Provides administrative support to the Project Manager by coordinating project activities related to any and all projects. The position’s primary duties are to ensure the continuity and efficiency of each project from start to finish through clear communication to all parties involved. The Project Manager Assistant handles multiple projects within a fast‑paced environment and is open to constant changes and challenges.

The ideal candidate will be highly organized and able to manage multiple projects at once in the absence of day‑to‑day guidance.

Primary Responsibilities
  • Ensures all project documentation is accurate and uploaded into internal and external systems.
  • Maintains Submittal Log.
  • Manages Change Order files and logs.
  • Handles Construction Documentation – Drawings and Specifications.
  • Maintains Contract Document Log (dates of each plan/specification issuance).
  • Creates and updates Project Schedules with the Project Team.
  • Monitors and expedites weekly reports for accuracy; provides timely data input and correction information.
  • Coordinates and communicates effectively with the team and clients, and provides technical assistance to field personnel.
  • Prepares, assembles, and logs all required closeout documentation (O&M manuals, as‑built drawings, attic stock, warranties, etc.).
  • Works with outside vendors, subcontractors, and city/county office personnel.
  • Performs other duties as required/directed.
  • Utilizes spreadsheets to track budgets, dates, and other information.
  • Prints and scans project documents and drawings.
Qualifications
  • Ability to work on several projects simultaneously and prioritize work.
  • Strong aptitude to work within deadlines.
  • Ability to communicate ideas of process improvement and forward thinking.
  • Integrity, honesty, and responsibility with a desire to contribute to the team’s success.
  • Proficient in Microsoft Products, including Excel, Word, PowerPoint, and Project.
  • Highly organized in both time and resources.
  • Comprehensive understanding of customer service principles and practices.
  • Ability to work within a team or independently as needed.
  • Strong written and verbal communication skills.
  • Proven ability to multi‑task in a fast‑paced environment.
  • Intermediate computer and/or tablet/iPad experience.
  • Must be able to pass a background / drug screen.
  • Preferred but not required: Ability to read and understand construction plans, contracts and related documents; administrative experience.
