BMS Aircon are seeking a highly organised and proactive Service Coordinator to join our team. In this key role, you will ensure the smooth day-to-day operation of the Service Department — managing job scheduling, communication with clients and engineers, and coordinating subcontractors to deliver outstanding service.

You’ll be at the heart of our operations, ensuring efficiency, compliance, and customer satisfaction at every stage.

Key Responsibilities

Job Scheduling & Coordination

* Plan and allocate work to engineers and subcontractors according to availability, skills, and location.

* Schedule jobs efficiently to optimise workloads and minimise travel time.

* Coordinate emergency call-outs and ensure response times meet SLA requirements.

* Maintain and update internal schedules and planning databases.

Engineer & Client Communication

* Act as the main point of contact for engineers, subcontractors, and clients.

* Provide engineers with job details and site-specific information.

* Keep clients informed with regular updates and service reports.

* Maintain and update subcontractor contact databases.

Administration & Documentation

* Log all jobs into the system accurately and on time.

* Raise quotations for additional works and repairs.

* Proofread and issue service reports to ensure quality and consistency.

Financial & Procurement Support

* Process and verify purchase invoices for approval.

* Raise and manage purchase orders to support supply chain efficiency.

* Support the invoicing process to ensure prompt, accurate billing.

* Track and manage receipts and related documentation.

Staff & Absence Management

* Record and manage absence logs for engineers and office staff.

About You

* Excellent organisational and time-management skills.

* Strong communication and problem-solving abilities.

* Keen attention to detail and a proactive approach to workload management.

* Experience with in a service, maintenance, or engineering environment is desirable.

* Competent IT skills with experience using databases or CRM systems (e.g., Clik, Job Logic).
