Legacy Counsellors, P.C. is always hiring! Growing Western Massachusetts law firm specializing in estate planning, wealth management, and real estate seeks an organized and conscientious full-time receptionist who shares our core values to support our busy Ludlow Office. Duties are varied, but immediate need is to assist in greeting clients when they arrive at the office, answering the phone and directing client calls to the appropriate staff member, supporting our estate planning staff in printing documents, drafting letters, and mailing letters and packages. This position has long-term career potential and comes with competitive hourly wages, benefits and potential for periodic bonuses.
This is a full-time position, 40 hours / week. This position isnotremote, and requires in-person work in our Ludlow, MA Office.
Skills and Qualifications
- Previous experience as a Receptionist with phone experience preferred;
- Proficiency with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and Adobe Acrobat;
- 3 or more years in administrative functions or equivalent preferred;
- Team-player, reliable, detail oriented, driven, motivated, thorough, honest, exceptional organizational skills and follow through;
- Reliable transportation and willingness to travel between our offices;
- A desire for personal & professional growth;
- Capable of multi-tasking and prioritizing high-volume workload effectively;
- Strong computer skills, generally;
- Excellent language skills and a penchant for accuracy;
- Willing to learn this unique field of law; and
- Consistent, low-key, deadline oriented, client-friendly attitude.
- Greet clients and other vendors as they arrive at our office by answering the door;
- Answer the phone and speak with clients to determine how to best transfer their call to other staff;
- Scan & save documents to electronic client files and file the necessary paper documents into physical client files;
- Work with members of the staff and attorneys in scheduling internal and external meetings;
- Provide exceptional customer service and develop strong relationships;
- Maintain & order office supplies;
- Draft outgoing mailings and correspondence;
- Serve as a witness for document signings;
- Self-managed follow up on delegated assignments;
- Retrieve, input and submit forms;
- After training, managing new client inquiries;
- Maintain client files; and
- Maintain client confidentiality.
