Hours: 18.5 hours per week; schedule to be determined upon hire

Job Description

The part-time Enrollment Assistant in the Enrollment Management Center (EMC) will provide student advocate services to a highly active office, serving individuals from diverse backgrounds. The incumbent will respond to inquiries and concerns in a problem-solving customer mode by assessing needs and determining the best method to answer inquiries or resolve concerns. This may involve extracting or researching data in the Banner System, contacting other college departments for information, or referring matters to other departments.

The role includes assisting students with MCC portal usage and self-service applications such as Middle Net, My Explorer, My Planner, Navigate, e-forms, e-transcripts, and other related applications.

Responsibilities
  • Answer and direct incoming calls from the College's main number and the 800 line to appropriate departments.
  • Assist students via the 800 line with class registration, Navigate appointments, self-placement guidance, add/drop, withdrawals, address changes, password resets, transcripts, and immunization records submission.
  • Instruct students on the use of software such as Banner Self-Service, Degree Works, College Scheduler, Navigate, and Blackboard.
  • Participate in outreach, retention, and Year-After-Graduation survey calls.
  • Scan and manage folder information in Soft Docs/Etrieve Content and Etrieve Central; enter prospective student information.
  • Assist with maintaining daily edit reports and running reports from various systems; assist with creating new student .
  • Serve as a student advocate by finding solutions and liaising with faculty, advisors, counselors, admissions, student accounts, and divisional staff to ensure inquiries are addressed.
  • Provide information to students, faculty, and staff relating to enrollment services using the Banner system.
  • Register students and schedule enrollment, placement, advising appointments; process add/drops, withdrawals, and program changes; reset passwords; book classrooms as needed.
  • Assist faculty in using Banner Self-Service for entering midterm and final grades, class lists, and contact information; reset faculty passwords.
  • Explain entrance requirements for certain health programs and policies for placement testing, prerequisites, and course intensives.
  • Explain FERPA rights and procedures and Dual Enrollment program details when appropriate.
  • Advise faculty on appropriate use of incomplete or in-progress grades and process grade changes as submitted by faculty.
  • Collaborate with the Assistant Director on policy and procedure for complex matters.
  • Prepare for Registration Sessions (virtual or on-campus) and provide materials for students and advisors; during sessions lift holds, enter overrides, assign passwords, coordinate with IT for setup and troubleshooting, supervise work-study students, and ensure orderly sessions.
  • Assist walk-in admissions questions, inform new students of college services, input applications, ensure accuracy, and set up necessary appointments.
  • Research and enter test scores into Banner as needed; test Banner upgrades to ensure proper functionality of routine processes.
  • Other duties as assigned by the Enrollment Management Center.
Requirements
  • High School diploma/GED or higher
  • Knowledge of office management principles and discretion in handling confidential information
  • Ability to understand, explain, and apply laws, rules, regulations, policies, and procedures governing assigned activities
  • Knowledge of general office equipment (PC, phone, copier, fax, etc.)
  • Analytical ability to interpret data and make recommendations
  • Clear written and oral communication skills
  • Strong information-gathering and record-keeping abilities
  • Ability to work with diverse individuals and maintain harmonious working relationships
  • Proficiency with Microsoft Office, Banner, Degree Works, and related applications
  • Experience with equity-minded work and understanding of diverse identities and abilities
