Overview

Experienced in handling a wide range of administrative and executive support tasks and able to work independently with little or no supervision. This person is well organized, flexible and enjoys the administrative challenges of supporting a small office of diverse people and programs. Has the ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.

Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important. Executive Assistant support by providing executive level operational and admin support to leadership when EAs are unavailable or out of office. Primary role is to take meeting minutes for a variety of committees and leaders. Primary liaison between executive leadership, department managers, staff and external partners.

Prepare budget-related summaries and documentation for leadership and grant reporting. Strong Microsoft Suite skills required.

Responsibilities
  • Understand and comply with the laws and regulations governing my job activities and the ethical and legal standards set forth in the Nor-Lea Compliance Program Plan and Code of Conduct. Help manage provider credentialing processes, documentation, monitoring credentialing timelines, expiration, and regulatory compliance. Coordinate providers, leadership, and regulatory entities for credentialing and re-credentialing. Audit and compliance reviews
  • Grant and Program Management by writing and supporting grant development, reporting, compliance and deliverables. Track grant performance, outcomes, and reporting requirements.
  • Coordinate internal and external stakeholders to ensure successful program implementation. Budget through tracking expenses, resources, allocation, and reporting requirements. Oversee internal reporting systems and performance dashboards and system failures. Manage operational disruptions and provide staff support when systems or processes fail.
  • Design and maintain Smartsheet work spaces, sheets, forms, dashboards and workflows. Standardize templates and improve cross-departmental processes.
  • Train staff and provide ongoing system support and troubleshooting for Smartsheet
  • Admin for Survey Monkey and design, manage surveys for operations, quality improvement, grants, and leadership initiatives.
