Position SummaryWe are seeking a highly organized and detail-oriented Finance Operations Specialist to support our Director of Finance. This individual will play a critical role in ensuring accurate and efficient financial operations—including payment application and collections, expense management, payroll coordination, timesheet management, and miscellaneous accounting duties.
This role requires strong analytical ability, clear and proactive communication, and a high degree of emotional intelligence to effectively collaborate across teams and maintain a dependable, service-oriented finance function.
Key Responsibilities- Record daily ACH/check payments and ensure accurate application to customer accounts.
- Manage AR inbox and respond to internal and external inquiries regarding invoices and discrepancies.
- Monitor aging reports and conduct proactive outreach on outstanding balances; manage collections and collection applications.
- Assist with weekly payroll preparation, including review of timesheets and overtime.
- Assist back-office team with compliance and other administrative tasks.
- Make weekly payroll and finance report entries into Quick Books.
- Assist with monthly close tasks, including reconciliations and reporting.
- Maintain organized financial records and ensure compliance with internal controls.
- Support ad-hoc financial analysis and reporting needs.
Full-time, 32–40 hours per week
Monday–Friday, 8:00 AM–5:00 PM
Location:

- AR, collections, and general accounting experience
- Excel skills a plus
- Quick Books experience preferred, but not required
- Demonstrates strong judgment, confidentiality, and integrity
