Role Overview

We’re looking for a Producer who brings structure, clarity, and calm to fast-moving photo and video productions. You’ll guide projects from concept to delivery, ensuring teams stay aligned, timelines stay tight, costs stay within budget and every detail is captured along the way.

This role is ideal for someone who thrives in organized chaos: comfortable juggling multiple shoots, collaborating across departments, and keeping production running with confidence. You’ll blend coordination, communication, and quality control to bring creative visions to life.

Key Responsibilities
Project Planning & Coordination
  • Build detailed project timelines with clear milestones, subtasks, and deadlines. Adds and maintains these projects in
  • Oversee end-to-end execution of all photo and video production projects.
  • Define scope, deliverables, expectations, and resource requirements for each project.
  • Write production treatments and outline creative approaches for client and internal alignment.
  • Create call sheets, manage talent release forms, and ensure all documentation is complete and accurate.
  • Assist in building production books based on creative direction.
  • Manage permits, insurance needs, and location requirements when applicable.
  • Archive all essential materials: briefs, production books, creative assets, budgets, vendor contracts, release forms, and post-production files.
Project Intake & Traffic Control
  • Oversee the intake of new internal and client projects, ensuring requests are clear, complete, and aligned with strategic goals.
  • Evaluate incoming work for scope, priority, timing, and resource needs before routing it into project plans.
  • Serve as the traffic controller between departments, balancing workloads, avoiding bottlenecks, and ensuring teams have what they need before work begins.
  • Maintain visibility into capacity across creative, strategy, media, and production teams to prevent overload or misalignment.
  • Ensure all project briefs and requests include necessary details before kickoff.
  • Collaborate with leadership and Account Managers to prioritize work when competing requests arise.
  • Run production sets, ensuring crews, talent, and clients are coordinated and supported.
  • Serve as the primary on-set point of contact, maintaining momentum, solving issues, and ensuring safety and efficiency.
  • Coordinate with directors, photographers, videographers, stylists, HMU, and other contractors.
  • Source, hire, and manage contractors for each project, including crew, talent, and specialty vendors.
  • Lead pre-production meetings and set walkthroughs to align everyone before shooting days.
  • Communicate creative vision effectively to ensure consistent execution from crew to final edit.
  • Help Account Managers manage client presence on set, ensuring a smooth, professional experience.
  • Work cross-functionally to allocate resources efficiently and keep teams aligned.
  • Set and maintain timelines, ensuring updates are communicated with clarity in
  • Facilitate regular check-ins to assess progress, resolve issues, and keep everyone on track.
  • Notify the team and Account Manager proactively about timeline or scope changes.
  • Coordinate closely with photographers, videographers, editors, designers, and post-production teams to ensure smooth workflows.
  • Manage multiple rounds of internal and client reviews, providing clear, actionable feedback to the team.
  • Act as a primary project stakeholder, ensuring the final deliverables meet creative expectations, brand standards, and client objectives.
  • Reconcile producer expenditures and ensure budget transparency.
Budget & Scope Alignment
