* we create possibilities*.The Executive Administrative Assistant to the General Counsel (GC) plays a critical role in supporting the Legal Department through exceptional administrative execution, sound judgment, and absolute discretion. This is a high-trust, in-office role supporting the GC and the broader Legal Department in a fast‑paced environment where priorities shift frequently and confidential information is handled daily. This role is ideal for a confident, highly organized professional who thrives on ownership, prioritization, and supporting senior leaders with precision.
This is an in-office position at our headquarters in Louisville, KY, with standard hours of Monday–Friday, 8:00 a.m.–5:00 p.m. Occasional flexibility and responsiveness beyond core hours are an expected part of the role as business needs arise.## ## Position Executive Administrative Assistant## ## Location
USA, Louisville, KY## How You'll Create Possibilities
* Own and proactively manage the General Counsel’s complex Outlook calendar, including scheduling, prioritization, conflict resolution, and last-minute changes, while ensuring alignment with business priorities.
* Anticipate executive and department needs by preparing the GC for meetings and maintaining clarity, organization, and accuracy in a fast-paced environment.
* Manage and prioritize a high volume of administrative requests for the Legal Department, including document preparation, printing, mailing, logistics coordination, purchase orders, expense reports, and invoice management.
* Arrange and coordinate business travel for Legal Department members, ensuring itineraries are accurate, cost-conscious, and aligned with business needs.
* Plan, coordinate, and support meetings and events as needed, including room reservations, setup and breakdown, email invitations, materials, technology, on-site logistics, and note-taking.
* Serve as a trusted and professional point of contact for the General Counsel and the Legal Department, communicating clearly, directly, and respectfully.
* Handle highly sensitive and confidential information daily with absolute discretion, exercising sound judgment, integrity, and professionalism always.
* Support cross-functional coordination for department initiatives and follow-up tasks, helping ensure priorities move forward.
* Maintain organized legal files and records and support day-to-day office operations to ensure the Legal Department runs efficiently.## What You'll Bring to Our Team
* 5+ years of administrative assistant experience, ideally supporting senior leaders in a corporate or legal environment.
* Proven expertise in Outlook calendar management and administrative task prioritization.
* Advanced proficiency in the Microsoft Office Suite (Outlook, Word, PowerPoint, Teams); ability to leverage AI tools such as ChatGPT to improve efficiency is strongly valued.
* Strong written and verbal communication skills with a high level of attention to detail, discretion, and follow-through.
** Preferred Qualifications
*** Bachelor’s degree in Business Administration, Legal Studies, or a related field.
* Prior experience supporting an executive leadership team.
* Prior paralegal experience or experience supporting a legal department.##
