Construction Administrator

We're seeking a highly organized and proactive Construction Administrator to support daily operations. In this role, you'll coordinate technician schedules, streamline workflow between the field and office, and ensure timely, accurate billing. Your work directly impacts project efficiency, customer satisfaction, and team success.

Key Responsibilities Field & Technician Coordination

+ Dispatch and coordinate plumbing technicians, ensuring daily schedules and assignments run smoothly.

+ Monitor job progress, completion timelines, and follow-up needs throughout the day.

+ Serve as a communication hub between technicians, Project Managers, leadership, and customers.

Project & Administrative Support

+ Maintain accurate service logs, work orders, job records, and project documentation.

+ Assist Project Managers with job tracking, workflow alignment, and administrative needs.

+ Identify scheduling gaps and troubleshoot issues to ensure uninterrupted field operations.

+ Support onboarding and training coordination to ensure technicians understand processes and expectations.

Billing & Documentation

+ Process invoices promptly and accurately.

+ Track collections, cash flow, and documentation for job files.

+ Maintain high attention to detail to ensure compliance and clean record-keeping.

Essential Skills & Experience

+ Plumbing or construction industry familiarity

+ Project coordination or project management support

+ Document control / project administration

+ MS Office Suite proficiency

+ Billing, invoicing, and data entry accuracy

+

Experience with AIA formats (preferred)

+ Ability to schedule meetings, maintain calendars, and manage multiple priorities

Additional Qualifications

+ Strong organizational and time‑management skills

+ Professional communication-written, verbal, and interpersonal

+ Ability to work effectively with technicians, managers, and customers

+ Problem-solving mindset, especially when managing schedules and workflow conflicts

+ High attention to detail and consistency in documentation and invoicing

Job Type & Location

This is a Contract to Hire position based out of Louisville, KY.

Pay and Benefits

The pay range for this position is $25.00 - $28.00/hr.
