Job Summary
We are seeking a friendly, organized, and professional Bilingual Receptionist to serve as the first point of contact for a company Vaco has partnered with. This role is critical in supporting daily office operations, communicating with clients, vendors, subcontractors, and field crews, and ensuring smooth administrative flow between the office and job sites. Fluency in English and Spanish is required.
Key ResponsibilitiesGreet visitors, clients, vendors, and subcontractors in a professional and welcoming manner
Answer and route incoming phone calls in both English and Spanish
Serve as a communication bridge between office staff, project managers, and field crews
Schedule appointments, meetings, and inspections
Maintain front desk organization and office appearance
Assist with data entry, filing, scanning, and document management
Prepare and distribute correspondence, reports, and job-related documents
Support project teams with administrative tasks such as permit tracking, subcontractor paperwork, and job files
Coordinate deliveries and manage incoming/outgoing mail
Track employee attendance, time sheets, or basic payroll support (if applicable)
Order office supplies and manage inventory
Maintain confidentiality of company and employee information
Fluent in English and Spanish (verbal and written)
Previous receptionist or administrative experience
Strong communication and interpersonal skills
Proficiency in Microsoft Office (Word, Excel, Outlook)
Ability to multitask and prioritize in a fast-paced environment
Professional demeanor and strong attention to detail
