Community events and celebrations play an important role in helping make the City of Louisville a lively and welcoming place to live, work and visit. The Special Events Coordinator provides support in planning and hosting the City’s special events, assists with rentals of the City’s public event venues, and provides overall administrative support for the City’s public arts and events programs.
This part-time position works in coordination with, and in support of, the Arts & Events Program Manager, under the general supervision of the Director of Cultural Services.
- Event Planning and Execution:
Assist the Arts and Special Events Program Manager with planning and coordination of special events, such as Summer Concerts in the Park, 4th of July, Labor Day and Fall Festival. - Take a leading role in organizing and executing annual Fall Festival on Labor Day.
- Manage vendor relationships (i.e. vendor selection, payments, licensing, communication, supplies, and onsite event needs).
- Actively assist onsite at large community events, including set-up and tear-down.
- Creatively collaborate on event vision and design.
- Respond to rental inquiries for Arts Center and Steinbaugh Pavilion; process rental requests and payments.
- Facilitate rental process for prospective renters, including venue tour and instruction.
- Manage Alarm Lock access codes for rentals and staff.
- Handle administrative tasks related to events and public art (i.e. check requests, inventory).
- Help keep Arts & Events storage organized and accessible.
- Post-event vendor and guest surveys.
- Other duties as assigned.
- Experience with large special events required.
- Ability to physically assist with events on-site, including lifting, hauling, setting up, standing for long periods and walking long distances.
- Ability to work under stress from demanding deadlines, public contact, and changing priorities.
- Capacity to organize and manage multiple tasks.
- Excellent interpersonal and customer care skills.
- Excellent verbal and written communications skills.
- Attention to detail.
- Ability to collaborate and jump into new and/or unfamiliar tasks.
- Ability to learn new digital tools and platforms.
- Knowledge of basic marketing strategies.
- Ability to establish and maintain effective working relationships with other City employees and the general public.
- Must be at least 18 years of age, have a valid driver’s license in good standing with no major violations in the past 3 years, and a reliable vehicle.
This is a part-time, non-benefitted position. Typically, 5 hours a day, 5 days per week. This position is also required to provide onsite assistance with special events which often take place on weekends, evenings, and holidays.
