Clinic and Urgent Care Manager (Healthcare)
The Clinic and Urgent Care Manager is responsible for managing hospital-owned clinics and urgent care, including budgets and ensuring safe, effective operations. Duties include daily management and administrative direction, coordination, and support of clinics and urgent care in alignment with patient safety goals, regulatory requirements, and the strategic plan.
Job Duties:
- Financial Management - Anticipates future consequences and trends accurately. Creates realistic budgets with concern for the objectives of the organization. Regularly tracks progress against the budget and makes changes as necessary to stay within the budget. Strives to reduce costs through compliance with GPO, increasing productivity and reducing waste. Monitors revenue cycle as it relates to department. Understands healthcare reimbursement issues and develops systems and processes for accurate and timely charging, documentation and reconciliation.
- Operations Management - Serves as the overall function expert for the organization. Understands and advocates for the best practices within his/her functional area and incorporates those elements that align with the organization. Leverages functional expertise to contribute competitive advantage to the organization. Demonstrates knowledge of and effectively prepares and monitors indicators for quality and continuous improvement for functional area.
- Regulatory Compliance - Demonstrates compliance to all standards of The Joint Commission, Federal, State, and other regulatory agencies, as required. Complies with conditions of payment for all payors and clinical standards applicable to functional areas of responsibility. Executes on action plans following reviews, inspections, etc.
- Coaching - Facilitates the development of others; sets clear goals, standards and guidelines in advance. Assesses employee performance, gives timely, constructive feedback and takes appropriate action with problem performers in a timely and direct way. Helps employees to see the potential for developing their skills and assists them in eliminating barriers to their development. Encourages employees to step outside of their comfort zone to develop their skills.
Provides guidance as to areas for further career growth. - Employee Management - Provides effective ongoing feedback to staff on a routine basis. Demonstrates effective team building, social interaction and conflict resolution. Seeks alternative viewpoints; involves employees in making decisions that affect them. Sends candid messages that are focused on the issue and not the person. Rewards and recognizes staff.
- Staffing - Recruits, retains and manages a qualified and competent staff. Supervises, coordinates and delegates activities of department to assure effective operations. Trains staff on new procedures. Assures departments are staffed adequately. Prepares work schedules. Manages staffing resources to achieve productivity, contract labor and overtime goals. Demonstrates effective supervision and delegation, scheduling and assignment of work.
- Decision Making - Gathers sufficient information to make an informed decision. Considers the short term impact of decisions, including risks and the reaction of others. Takes a long range view of the potential consequences. Investigates all options and their consequences, and makes timely decisions.
- Managing Results - Establishes a sense of direction, and motivates staff to work together toward common goals. Creates an environment that encourages employees to work together as a team. Ensures that all team members know their role, and that barriers to success are removed or minimized.
- Planning Projects - Develops series of steps leading toward the accomplishment of the long term goal. Effectively promotes the program/project within the organization as well as externally. Influences others to make the product/project a priority.
- Change Management - Adjusts readily to multiple demands, shifting priorities, change and unexpected events; remains calm, effective and even-tempered in high pressure circumstances; maintains composure in the face of criticism, conflict, or hostility; projects a positive and cheerful outlook; rebounds quickly from setbacks and disappointments; understands own limitations and strengths. Models breakthrough thinking. Acts as a change agent and helps others manage through change.
